Sr. Administrative Coordinator

We are seeking a detail-oriented, enthusiastic team player for the position of Sr. Administrative Coordinator.  Must be passionate about advancing the education mission of Johns Hopkins and the Cancer Center. The We and project support for the Office of Cancer Research Education and Training Coordination (CRTEC) at the Sidney Kimmel Comprehensive Cancer Center. This position is a critical for promoting, advertising and tracking data for Cancer Center’s meetings, courses and special events. It is also critical for the ‘on the grounds’ operations of the Cancer Center’s multifaceted educational programming. The job includes supporting faculty and staff with the coordination and success of conferences including for identifying appropriate room space, audiovisual setup, attendance tracking, as well as advertising of events in the school of medicine and university. A hybrid work schedule is encouraged and integrated.


Specific Duties & Responsibilities

  • Works with faculty organizers to invite, confirm and plan weekly and special conference activities.
  • Works with JHU Facilities and Audio-Visual Department as necessary to ensure successful event planning and execution.
  • Oversee calendar and advertising of clinical and research conferences in the Cancer Center.
  • Track attendance and recorded conferences.
  • Prepare and track Continued Medical Education activities.
  • Work with faculty to arrange and invite Visiting Professors and create agenda with host faculty and other administrative staff
  • Work with Visiting faculty to coordinate travel arrangements for guest speakers and visiting professors.
  • Prepare Abstract Book and related material for conferences such as Trainee Research Day and other conferences hosted by SKCCC.
  • Process online payments and travel expense reimbursements for Visiting Professors and as needed for Office of CRTEC.
  • Support catering for Cancer Center events such as Wednesday Research Conference and Journal Club.
  • Perform other duties and/or special projects as assigned by the Director of Office of CRTEC or designee.
  • Oversee usage of main conference rooms in cancer research buildings including with outlook calendar.
  • Oversee maintenance of computers and AV equipment and works with supervising coordinator to ensure regular upgrade of AV and other equipment for optimal conference.

Special Knowledge, Skills & Abilities

  • Excellent typing and accuracy skills.
  • Ability to operate computer, fax, copier, scanner, and other general office equipment.
  • Ideally able to set up and assist with troubleshooting video conferencing for meetings coordinated through JHU IT. Interest in developing this skill is also welcomed if no experience in this area.
  • Excellent computer literacy skills required, including proficiency in Word, Excel, PowerPoint
  • Willingness to learn new software and adapt to changes in office technology and software to ensure efficient office practices.
  • Knowledge or interest in developing skills to learn Adobe Adobe Illustrator or Photoshop, Qualtrics, e-calendar (Outlook) capabilities and other administrative software
  • Excellent verbal and written communication skills.
  • Excellent interpersonal skills with the ability to work with faculty, staff, and students.
  • Proven strong organizational, time management, analytical, and problem-solving skills.
  • Attention to detail is a must.
  • Must be able to work independently, be flexible, motivated, and able to handle multiple tasks with ease.
  • Must be a self-starter.
  • Ability to make independent decisions and establish work priorities to meet deadlines.
  • Ability to work independently and as part of a team.
  • Ability to work for long periods of time without direction, prioritize own work, and work with flexibility on several tasks simultaneously in order to meet various concurrent deadlines.

Minimum Qualifications
  • High School Diploma or graduation equivalent.
  • Five years progressively responsible administrative experience.
  • Additional education may substitute for required experience, to the extent permitted by the JHU equivalency formula.
