General Description

The Events Manager and Administrative Coordinator (EM-AC) in the Office of the President is responsible for planning and executing events and providing general administrative support to Nichols House, the residence of the President at Johns Hopkins University. The EM-AC also plans and executes events for the Office of the President and other senior leadership. The position provides project management and judgment, working independently and as a team, under the direction of the President's spouse and Deputy Chief of Staff (for Nichols House events and support) and the Senior Executive Assistant/Office Manager (for other events).This position may have a reporting line into the Director of University Events, Development and Alumni Relations.

Responsibilities and Duties:

Event Planning and Coordination (Nichols House)
Work under the direction of the President's spouse to create, plan and execute successful events at Nichols House, including: developing invitation lists; style, flow, layout and invitations; creating and maintaining project schedules and ensuring timelines are achieved; ensuring accuracy of invitations, RSVP lists/nametags, guest needs, programs, and related details; coordinating vendors and arrangements (catering, rentals, custodial services for set-up and clean-up, flowers); creating an effective timeline and overseeing logistics of all events; managing and working within a budget; creating timely, detailed and accurate briefings on each event; maintaining records and briefings for events (purpose, attendees, costs, etc.); manage outside contracts with vendors (caterers, florists, transportation, etc.); communicating clearly and timely with university offices; oversee printing and mailing of event materials.

Administrative Support (Nichols House)
Work under the direction of the President's spouse and deputy chief of staff to provide administrative support to Nichols House and the president's spouse for all university events and activities, including: scheduling and maintaining an accurate calendar; preparing the president's spouse for events, meetings, speaking engagements, etc.; researching and gathering needed information and background materials; managing travel and correspondence; creating and maintaining files; tracking and overseeing related expenses and reports.

Event Planning and Coordination (Office of the President)
Work under the direction of the senior executive assistant/office manager to plan and execute successful events for the Office of the President and senior leadership, including the duties listed for Nichols House event planning; purchase gifts from the President for special occasions and events; provide hospitality to guests of the Office of the President; manage special projects upon request; and perform additional administrative duties as assigned.

Qualifications

High School Diploma/GED required. Bachelor's degree strongly preferred. Additional education may substitute for experience.

Five years of progressively responsible experience in administrative work and event planning required. Executive-level event planning experience preferred.

Incumbent must have a valid driver’s license and own a vehicle in order to travel to events and run errands as needed. Mileage reimbursed

JHU Equivalency Formula: 30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience. Additional related experience may substitute for required education on the same basis. For jobs where equivalency is permitted, up to two years of non-related college course work may be applied towards the total minimum education/experience required for the respective job.
