General Description

Provide administrative support to the Whiting School of Engineering Office of the Dean. Position will be a member of the team of Administrative Coordinators within the Office This position specifically supports the Associate Dean of Finance and Administration, along with the Engineering Business Office.

Essential Duties and Responsibilities:

Administrative Support for the Deans:

  • Maintain the calendar for the Associate Dean based on knowledge of goals and priorities
  • Schedule appointments and meetings with faculty students, staff and others across the University
  • Prepare agendas and materials for meetings
  • Draft and prepare office communications for signature
  • Proofread and edit confidential and sensitive information
  • Maintain and organize electronic and paper files
  • Provide administrative support as directed for the Associate Deans’ direct reports

General Administrative Support:

  • Review monthly budget statements and reconcile expenditures
  • Prepare financial paperwork such as purchase orders, travel reimbursements, coded invoices and check requests
  • Regularly use University online financial systems (SAP) to initiate and complete transactions
  • Receive, review and distribute incoming mail and send outgoing mail as required
  • Assist in the coordination of special events and meetings, including scheduling meeting rooms/venues and making travel arrangements
  • Order and maintain inventory of office supplies
  • Other duties as assigned

Qualifications

High school diploma/GED required. Some college preferred. Three years of related experience required. Additional education can be substituted for experience.

JHU Equivalency Formula: 30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience. Additional related experience may substitute for required education on the same basis. For jobs where equivalency is permitted, up to two years of non-related college course work may be applied towards the total minimum education/experience required for the respective job.

Special Knowledge, Skills, and Abilities:

  • Knowledge of the formal and informal JHU and WSE goals, standards, policies and procedures, including some knowledge other departments within the School.
  • High level of proficiency in computer skills including Microsoft Word, Excel, Outlook and other software programs
  • Excellent written and verbal communication skills
  • Must be detail-oriented and well-organized and able to manage time effectively
  • Demonstrated ability to coordinate and prioritize multiple and/or overlapping assignments
  • Must have a demonstrated ability to maintain confidentiality of information
