General Nature or purpose of position:

Provide general administrative support to CTY Summer Programs,

which operates academic summer residential and day programs for approximately 10,000 academically talented students annually.

 

Responsibilities:
 

  • Communicating with staff, parents, students and applicants, via phone and email, regarding frequently asked questions pertaining to the programs, and directing inquiries to the relevant contacts when appropriate.
  • Scheduling interviews for prospective temporary summer staff.
  • Managing and tracking receipt of employment documents such as applications, transcripts, resumes and payroll documents for temporary summer staff hires; and logging this information in an in-house database.
  • Initiating the criminal and background check process for applicants and monitoring the status; which includes alerting the appropriate stakeholders of any reports that contain violations or convictions.
  • Preparing summer employment contract packages for distribution by mail and/or email, which include generation of employment agreement contracts.
  • Updating departmental web pages and ensuring documents available for download comply with accessibility standards.
  • Providing administrative support to designated summer sites, which includes packing and shipping supplies, documents, and other materials.
  • Initiating and monitoring the progress of travel and miscellaneous reimbursements for both full-time and temporary summer staff.
  • Managing departmental files, which include long term storage and retrieval of documents.
  • Sorting and distributing departmental mail.
  • Completing independently assigned administrative projects, as needed.
  • Participate in some marketing functions, such as calling prospective schools to encourage participation in CTY programs and services.
  • Maintain logs of confidential information; create and generate reports.

Requirements:

  • High school diploma/GED. Bachelor’s degree preferred.
  • Two years of administrative/clerical experience. Experience in customer service/academic setting preferred.
  • School counseling background preferred.
  • Proficiency in Microsoft Office Suite, specifically Word, Excel, and Access.

 

Supervisory Responsibility:

  • This position has no supervisory responsibilities.

 

Additional Information:

  • Applicants must be authorized to work in the US.
  • All employees participating in or serving children in University programs must participate in mandatory Child Abuse Prevention online training on the appropriate conduct around children, protecting children from abuse and neglect, and reporting of known or suspected child abuse and neglect.

 

Physical Requirements for the Job:

  • Ability to sit in a normal seated position for extended periods of time;
  • Dexterity of hands to operate a computer keyboard, mouse pad and other office machinery;
  • The incumbent will be required to communicate regularly via telephone and face to face with internal and external customers and must be able to exchange accurate and timely information in these settings;
  • Position also requires a degree of mobility common to working in an office environment; bending, kneeling or standing during events and presentations may be required.

During the Influenza ("the flu") season, as a condition of employment, The Johns Hopkins Institutions require all employees who provide ongoing services to patients or work in patient care or clinical care areas to have an annual influenza vaccination or possess an approved medical or religious exception. Failure to meet this requirement may result in termination of employment.

 

The pre-employment physical for positions in clinical areas, laboratories, working with research subjects, or involving community contact requires documentation of immune status against Rubella (German measles), Rubeola (Measles), Mumps, Varicella (chickenpox), Hepatitis B and documentation of having received the Tdap (Tetanus, diphtheria, pertussis) vaccination. This may include documentation of having two (2) MMR vaccines; two (2) Varicella vaccines; or antibody status to these diseases from laboratory testing. Blood tests for immunities to these diseases are ordinarily included in the pre-employment physical exam except for those employees who provide results of blood tests or immunization documentation from their own health care providers. Any vaccinations required for these diseases will be given at no cost in our Occupational Health office.
