Administrative Coordinator

General Summary

 

The Department of Welch Health Science Informatics is seeking a full time Administrative Coordinator that will provide administrative and clerical support to the Academic Programs Administrator and the Director of Research and Training, the Division of Health Sciences Informatics (DHSI.)  The Administrative Coordinator will carry out routine functions of the Division including phone triage, record keeping, scheduling.  Interprets operating policies and exercises independent judgment in resolution of administrative support issues and challenges.  The Administrative Coordinator will report to the Academic Programs Administrator.

 

Duties & Responsibilities

Overall

 

  • Provides administrative support including scheduling meetings and coordinating travel and processing reimbursements.
  • Oversees the calendars, correspondence, travel arrangements and business files of Training Program Director
  • Conducts routine correspondence and maintains records for CME for the Grand Rounds speaker series. Compiles report for OCME. Posts announcements.
  • Maintains Website and email lists
  • Maintains admissions and student files, academic program templates and statistical records for routine grant reporting to NLM
  • Maintains Blackboard Course sites
  • Coordinates training, meetings and presentations
  • Operates office equipment such as photocopier, fax machine, and calculator
  • Operates personal computer to access email, electronic calendar, and other basic office support software
  • Organizes mailings
  • Works with Welch administration regarding space, furniture, scheduling, classroom assignments and meetings, etc.
  • Maintains office supplies inventory
  • Other duties and responsibilities as assigned

 

Division of Health Sciences Informatics

 

  • Manages administrative/research/editorial projects
  • Prepares grant applications, manuscripts, and reports
  • Schedules interviews of DHSI training program applicants
  • Schedules orientation of DHSI training program students
  • Sets up students space and registration
  • Supports Friday division seminar
  • Keeps courses on schedule
  • Assists in maintaining DHSI website

 

Qualifications

 

High School Diploma or GED with minimum of three years of office experience required. 

   

Preferred qualifications

 

Two years of college or additional years of work experience preferred. 

 

Special knowledge, skills, and abilities

 

  • Excellent knowledge of microcomputers and computer based applications (Windows-based PC, Word, Excel, PowerPoint, Internet Explorer and Netscape.) 
  • Excellent oral and written communication and interpersonal skills, including exchange of non-routine and confidential information using tact and persuasion as appropriate. 
  • Ability to work independently, to be able to accept responsibility, and to exercise good judgment. 
  • Ability to work well with a variety of people and to interact professionally with faculty, staff, and students as well as with contacts outside of the institutions.

Starting Salary Range: $16.91-$23.25

During the Influenza ("the flu") season, as a condition of employment, The Johns Hopkins Institutions require all employees who provide ongoing services to patients or work in patient care or clinical care areas to have an annual influenza vaccination or possess an approved medical or religious exception. Failure to meet this requirement may result in termination of employment.

 

The pre-employment physical for positions in clinical areas, laboratories, working with research subjects, or involving community contact requires documentation of immune status against Rubella (German measles), Rubeola (Measles), Mumps, Varicella (chickenpox), Hepatitis B and documentation of having received the Tdap (Tetanus, diphtheria, pertussis) vaccination. This may include documentation of having two (2) MMR vaccines; two (2) Varicella vaccines; or antibody status to these diseases from laboratory testing. Blood tests for immunities to these diseases are ordinarily included in the pre-employment physical exam except for those employees who provide results of blood tests or immunization documentation from their own health care providers. Any vaccinations required for these diseases will be given at no cost in our Occupational Health office.
