Administrative Coordinator

We are seeking an Administrative Coordinator who will provide general administrative support to the Department of International Health's Chair's Office. This position will provide office coverage, general administrative support, and represent the department in a pleasant and helpful manner as this position is usually the first point of contact/interaction with the Department of International Health.


Specific Duties & Responsibilities

  • Greet visitors, answer phones, sort & handle incoming and outgoing mail for Chair's Office.
  • Coordinate Chair's travel arrangements including ensuring visa are secured and maintaining a travel file for each trip using Concur.
  • Coordinates, organizes, plans, or assists in all aspects relating to Departmental Chair's Office meetings, committees, conferences, travel, and events including payments and/or reimbursements. Use SAP and Procurement Card for all ordering.
  • Provide administrative assistance to Department Administrative Manager, Chair's Office staff, and Visiting Professor(s) as requested.
  • Managing the posting of all events and seminars to the IH calendar.
  • Order office and other supplies. Oversight of office machinery (fax, copier, coffee machine, etc.) to ensure that appropriate supplies are on hand and available as necessary.
  • Perform library related duties including literature searches, maintain both Chair's CV and Chair's reprint files.
  • Maintain electronic files and general files in the main office Maintain Department dissertations.
  • Other duties as assigned.


Minimum Qualifications
  • High School Diploma or graduation equivalent.
  • Three years related experience.
  • Additional education may substitute for required experience, to the extent permitted by the JHU equivalency formula.


Preferred Qualifications
  • Excellent typing skills.
  • Working Knowledge of Microsoft Office software including Word, PowerPoint, Outlook, and Excel
  • Strong organizational skills required. Excellent interpersonal communication skills.

Starting Salary Range: $17.95-$25.30-$32.60 HRLY (Commensurate with experience)

JHU Equivalency Formula: 30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience. Additional related experience may substitute for required education on the same basis. For jobs where equivalency is permitted, up to two years of non-related college course work may be applied towards the total minimum education/experience required for the respective job.

The pre-employment physical for positions in clinical areas, laboratories, working with research subjects, or involving community contact requires documentation of immune status against Rubella (German measles), Rubeola (Measles), Mumps, Varicella (chickenpox), Hepatitis B and documentation of having received the Tdap (Tetanus, diphtheria, pertussis) vaccination. This may include documentation of having two (2) MMR vaccines; two (2) Varicella vaccines; or antibody status to these diseases from laboratory testing. Blood tests for immunities to these diseases are ordinarily included in the pre-employment physical exam except for those employees who provide results of blood tests or immunization documentation from their own health care providers. Any vaccinations required for these diseases will be given at no cost in our Occupational Health office.
