Administrative Coordinator

General summary/purpose:

 

Position will work with the Accreditation, Assessment and Technology Team to support the assessment and technology processes and assist in generating reports and completing purchases through SAP. The candidate will also facilitate various processes for the Assessment and Accreditation Team.

 

 

Specific duties & responsibilities:

 

The coordinator will be responsible for purchasing IT equipment and other necessary supplies for the Assessment, Accreditation, and Technology team using SAP following JHU Policies and Procedures. The candidate will track and receive all purchases by maintaining detailed records in paper and digital form. The candidate will also follow-up with IT staff to determine that qualifying items are inventoried and delivered to the programs making the requests. In addition, the candidate will perform general administration support by maintaining the associate dean’s calendar, scheduling meetings, and perform meeting logistics.  Also, the candidate will support the Assessment team by inputting assignments and launching them in Tk20.  The candidate will run reports and send regularly scheduled surveys and reminders for assignment completion.

 

The Assessment Coordinator’s responsibilities:


Administrative:

  • Maintain calendar for Associate Dean.
  • Meeting coordination – reserve rooms, schedule coordination, note-taking, follow-up on action items.
  • Special event coordination – includes sending out invitations, room reservations, technology coordination, ordering food and supplies, room set-up and clean-up, coordination of handouts, agendas, sign-in sheet, and on-site assistance for the Assessment Advisory Board Meetings and Assessment Retreat all-day meetings
  • Use Microsoft Outlook and SmartSheet to track and complete tasks assigned
  • Process purchase requests using SAP following JHU policies and procedures including IT equipment, IT software, and other supplies as needed.
  • Submit reimbursements for faculty and staff on the Assessment Team using SAP following JHU policies and procedures.
  • Process MOU’s for various faculty tasks.
  • Receive and log IT purchases in tracking system.
  • Maintain log of purchases and expenditures for all Assessment, Accreditation and Technology teams.
  • Provide staff support for program events/meetings including scheduling and coordinating logistics.
  • Prepare correspondence and reports.
  • Use of office equipment including but not limited to: mail machine, copier, scanner, label maker,  phone, paper cutter, and computer
  • Use various software applications, such as spreadsheets, relational databases, statistical packages and graphics packages to create, compile, manipulate and/or format data and or reports.

 

Assessment: 

  • Must be or qickly become proficient in use of Tk20..  Input assignments and assessments into the system as needed.  Pull data reports from Tk20 for accreditation reports and program improvement needs.
  • Coordinate and send out regularly scheduled reminders to course instructors regarding assignment completion and grading needs.  Report out completion statistics regularly to the Assessment Team.
  • Coordinate a schedule and send out surveys needed for assessment.
  • Other duties as assigned.

 

 

Qualifications

 

A High School Diploma is required, Three years related administrative experience required. Bachelor’s degree is strongly preferred.

 

Special knowledge, skills, and abilities:

 

  • Strong working knowledge of Microsoft Office suite, Smartsheet, and database software
  • Become proficient in the use of TK20
  • Strong oral and written communication skills, including the ability to prepare grammatically correct and well formated emails and basic correponsdence.
  • Strong interpersonal skills, with the ability to work with diverse populations.
  • Analytical with the ability to triage and resolve day to day problems.
  • Must be able to effectively multi-task with the proven ability to manage competing assignments/projects and meet established deadlines
  • Able to work effectively in a collaborative team environment
  • A self –starter who is ble to take initiative and work independently to complete work in the normal portfolio of responsibiities.
  • Receptive to feedback and direction

The pre-employment physical for positions in clinical areas, laboratories, working with research subjects, or involving community contact requires documentation of immune status against Rubella (German measles), Rubeola (Measles), Mumps, Varicella (chickenpox), Hepatitis B and documentation of having received the Tdap (Tetanus, diphtheria, pertussis) vaccination. This may include documentation of having two (2) MMR vaccines; two (2) Varicella vaccines; or antibody status to these diseases from laboratory testing. Blood tests for immunities to these diseases are ordinarily included in the pre-employment physical exam except for those employees who provide results of blood tests or immunization documentation from their own health care providers. Any vaccinations required for these diseases will be given at no cost in our Occupational Health office.
