Administrative Specialist

General summary/purpose:

The Department of Radiology is seeking an Administrative Specialist that will support the project needs involving space and facility needs in Radiology by providing complex administrative and project support to ensure the smooth and efficient operations of the department.  The ideal candidate will provide ideas and solutions to all space projects, request and major renovation project.  A successful candidate will be pivotal in assisting the department in accomplishing the goals, and initiatives in the department.

Specific Duties/Responsibilities:

  • Manage and complete research to ensure positive outcome on all project work, including space allocation, renovations, business continuity, parking, and other projects as assigned.
  • Work with managers and faculty to identify needs, coordinate processes and oversee projects to completions.
  • Serves as Department of Radiology liaison with Facility Management regarding university space.   Ensures the department adheres to policy, practices and procedures.
  • Serves as liaison to Safety & Environmental Health, and ensures that the department is continuously in compliance with Federal, State, and University policies relating to radiation, biological materials, and occupational health standards.
  • Prioritize all Radiology requests and work with Facilities to have projects completed in a timely manner.
  • Based on department needs, determine project priorities.
  • Manage multiple projects.
  • Partners with Administration, Leadership and other resources to update the business continuity plan as necessary. Work with appropriate parties to disseminate as needed.
  • Represents the department at meetings relating to business continuity, disaster planning, and so forth.
  • Analyze space and facility needs in the department and work with Facilities to resolve all issues.   
  • Prepare special reports needed to report to leadership space needs and concerns.
  • Manage communications from chair and administrators regarding facilities needs in Radiology including preparing announcements, letters, and memos.
  • Interface with key leadership across the university.
  • Maintain confidentially since dealing regularly with highly sensitive and privileged information.
  • Anticipate and problem-solve issue and concerns that will impact the chair and department.
  • Responsible for answering questions, providing guidance, and disseminating information regarding space and facility concerns as necessary.
  • Partner with facilities and vendors on reconfigurations, renovations, moves, and other facility needs as necessary.
  • Monitor Radiology parking spaces and budget attributed to parking cost. Partner with the parking office to ensure up-to-date data.
  • Exercises independent judgement in the resolution of issues problems
  • Work throughout Radiology divisions to assist with other project needs when necessary

Minimum qualifications:

Bachelor’s Degree and five (5) years in providing high level expertise.  Additional experience may substitute for required education to the extent permitted by JHU. Must be proficient in Microsoft Office Suite and able to use various software applications. The individual needs to be detailed-oriented, organized, and have excellent written and oral communication.

JHU Equivalency Formula:  30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience.  Additional related experience may substitute for required education on the same basis.  For jobs where equivalency is permitted, up to two years of non-related college course work may be applied towards the total minimum education/experience required for the respective job.


Role/Level/Range: ATP/03/PC

Starting Salary Range:   $49,216-$67,735

Employee Group: Full-Time

Schedule: Monday-Friday, 37.5 hrs/wk

During the Influenza ("the flu") season, as a condition of employment, The Johns Hopkins Institutions require all employees who provide ongoing services to patients or work in patient care or clinical care areas to have an annual influenza vaccination or possess an approved medical or religious exception. Failure to meet this requirement may result in termination of employment.


The pre-employment physical for positions in clinical areas, laboratories, working with research subjects, or involving community contact requires documentation of immune status against Rubella (German measles), Rubeola (Measles), Mumps, Varicella (chickenpox), Hepatitis B and documentation of having received the Tdap (Tetanus, diphtheria, pertussis) vaccination. This may include documentation of having two (2) MMR vaccines; two (2) Varicella vaccines; or antibody status to these diseases from laboratory testing. Blood tests for immunities to these diseases are ordinarily included in the pre-employment physical exam except for those employees who provide results of blood tests or immunization documentation from their own health care providers. Any vaccinations required for these diseases will be given at no cost in our Occupational Health office.
