General summary/purpose

Provides support and guidance as related to payroll implementation for Human Nutrition Program Faculty, staff and students.


Specific duties & responsibilities

  • Process payroll transactions in SAP including initiation of ISR’s, processing eforms, hourly payroll, student time recording in CATS, reviewing and tracking payroll transactions and reconciliations (hiring, changes and terminations).  This also includes submission of student insurance and tuition for students.


  • Reconcile control salary report and adjust accordingly


  • Monitor payroll reports to include overpayments


  • Track and coordinate with Department HR in the hiring of students within program areas, student payroll for the program area.


  • Act as liaison with HRSS, IHHR, Compliance, OIS, School’s Financial Aid, Student Services, Business Office, other JHU and schools/department and program areas to ensure accuracy and efficiency with payroll and VISA transactions/processes.


  • Work with Faculty and staff in compiling all information related to payroll expenditures and budgets, including grants contact and general funds.


  • Maintain established salary distribution excel spreadsheets with payroll to monitor effort reporting. Proactively identifying salary shortfalls and communicate them to the Financial Manager, faculty and financial staff. 


  • Pre review effort forms


  • Maintain record keeping for all Human Nutrition personnel (faculty, staff, student, visiting scholars, volunteers)


  • Work with OIS and submit required documents related to visas as needed for faculty, staff and students.


  • Applied knowledge of JHU and departmental personnel policies and procedures.  Ensure compliance with all relevant University and/or agency regulations and restrictions.


  • Follow up required and important for all payroll and related transactions.


  • Assist financial and administrative staff as needed with preparation of SAP documents (online payments, travel reimbursements, shopping carts, reconciliation of monthly expenses statements).  Assist as needed with proposal budgets and processing. General administrative office support. 


Minimum qualifications 

  • High School diploma (GED). 
  • Three years of related administrative and/or budget experience.
  • Related coursework at the college level may substitute for experience to the extent permitted by the JHU equivalency formula.


* JHU Equivalency Formula: 30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience.  For jobs where equivalency is permitted, up to two years of non-related college course work may be applied towards the total minimum education/experience required for the respective job. *


Preferred qualifications

  • Some college coursework in related field. 
  • Payroll experience preferred, which would include coordinating payroll and/or human resources activities.
  • Knowledge of Microsoft excel, word preferred.


Special knowledge, skills, and abilities

  • Experience processing payroll using SAP, Microsoft Office (excel, word), detail oriented with excellent organizational skills.
  • Excellent multi-tasking skills.
  • Ability to independently manage workload and anticipate/plan upcoming projects to include work in fast paced deadline driven environment. 
  • Excellent communication skills both written and oral. 
  • Working knowledge of JHU payroll policies and procedures or ability to quickly learn. 
  • Working well within a team environment is important.

During the Influenza ("the flu") season, as a condition of employment, The Johns Hopkins Institutions require all employees who provide ongoing services to patients or work in patient care or clinical care areas to have an annual influenza vaccination or possess an approved medical or religious exception. Failure to meet this requirement may result in termination of employment.


The pre-employment physical for positions in clinical areas, laboratories, working with research subjects, or involving community contact requires documentation of immune status against Rubella (German measles), Rubeola (Measles), Mumps, Varicella (chickenpox), Hepatitis B and documentation of having received the Tdap (Tetanus, diphtheria, pertussis) vaccination. This may include documentation of having two (2) MMR vaccines; two (2) Varicella vaccines; or antibody status to these diseases from laboratory testing. Blood tests for immunities to these diseases are ordinarily included in the pre-employment physical exam except for those employees who provide results of blood tests or immunization documentation from their own health care providers. Any vaccinations required for these diseases will be given at no cost in our Occupational Health office.
