CO Clinical Scheduling Coordinator

General summary/purpose:

Working with faculty and scheduling supervisor, will be responsible for all aspects of surgical coordination. Surgeries are scheduled for the East Baltimore and Green Spring Station locations.  Can handle procedures related to both cosmetic and medical procedures.

Specific Duties/Responsibilities:

  • Primary surgical coordination
  • Working with the staff to develop, implement and manage systems to ensure all required components are completed for surgical patients, i.e., consents, history and physical, orders, etc.
  • Scheduling of urgent/emergent surgery/admissions/transfers
  • Updates insurance information when information becomes available
  • Back-up coverage of front desk, answering telephones, message retrieval and patient scheduling
  • Coordinate scheduling of resident/fellow surgeries with appropriate faculty
  • Compliance of divisional scheduling templates and instructional training for new staff
  • Other duties as required
  • Review with patients all surgery instructions and necessary forms for completion
  • Review with patients all insurance requirements before surgery, and will work with the patient and billing office to ensure all proper financial arrangements have been made before surgery
  • For international patients, will work with the International Office to ensure financial clearance and scheduling
  • Educates patients on what to expect before, during, and after eye surgery.  Will ensure that all patient questions have been answered by the appropriate staff
  • Schedules surgery utilizing the appropriate on-line system.  Will also admit patients, when necessary, utilizing available on-line system
  • Ensures pediatric anesthesia coverage and coordinates admission to the appropriate hospital location
  • Coordinates details for surgery, including scheduling pre-ops and immediate post-op appointments and arrival time for surgery and follows up on post-op appointments to ensure continuity of postoperative care
  • Coordinates surgery scheduling with other departments.
  • Coordinates and verifies receipt of results for all required ancillary ophthalmic tests required for surgery
  • Works with social worker to assist patients in need
  • Coordinate with other surgical coordinators or medical office/administrative staff as necessary
  • Set up and train everyone one Emdeon
  • Check over schedules 2 weeks in advance for errors
  • Relay employee concerns to Clinical Operations Manager
  • Assisting in implementation of Front Desk Structure
  • Handle all messages for Centralized Surgical Scheduling
  • Check errors on ORMIS cases
  • Hand out paperwork to surgical schedulers
  • Answer questions and solve problems for CSS staff
  • Assist with staff meetings
  • Attend Electronic posting meetings
  • Assist in locating missing paperwork for the OR
  • Manages excel spreadsheet for paperwork distribution
  • Takes on concerns from other departments
  • Coverage for Clinical Operations Manager as needed
  • Check and sign off on all TOS collected in CSS
  • Manages Electronic posting sheet reports
  • Covers front desk as needed
  • Creating a spreadsheet for cleaning out electronic posting
  • Check CSS calendar when Clinical Operations Manager is out of the office
  • Assists in creating surgical scheduling protocol

Minimum qualifications:

High school diploma required.  Minimum two (2) years medical office and surgery scheduling experience required.

JHU Equivalency Formula:  30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience.  Additional related experience may substitute for required education on the same basis.  For jobs where equivalency is permitted, up to two years of non-related college course work may be applied towards the total minimum education/experience required for the respective job.

Preferred qualifications:

AA degree or higher preferred.  ORMIS and Epic scheduling experience preferred.


Role/Level/Range: ACRO/02/OE

Starting Salary Range:   $16.91-$23.25; commensurate with experience

Employee Group: Full-Time

Schedule: Monday-Friday, 40 hrs/wk

During the Influenza ("the flu") season, as a condition of employment, The Johns Hopkins Institutions require all employees who provide ongoing services to patients or work in patient care or clinical care areas to have an annual influenza vaccination or possess an approved medical or religious exception. Failure to meet this requirement may result in termination of employment.


The pre-employment physical for positions in clinical areas, laboratories, working with research subjects, or involving community contact requires documentation of immune status against Rubella (German measles), Rubeola (Measles), Mumps, Varicella (chickenpox), Hepatitis B and documentation of having received the Tdap (Tetanus, diphtheria, pertussis) vaccination. This may include documentation of having two (2) MMR vaccines; two (2) Varicella vaccines; or antibody status to these diseases from laboratory testing. Blood tests for immunities to these diseases are ordinarily included in the pre-employment physical exam except for those employees who provide results of blood tests or immunization documentation from their own health care providers. Any vaccinations required for these diseases will be given at no cost in our Occupational Health office.
