Development Coordinator-Neurology

 

Summary:

The Development Coordinator will report to the Sr. Director of Development, Johns Hopkins Department of Neurology. The incumbent will provide expert administration and development support for the Sr. Director of Development, while also secondarily providing assistance to three Sr. Associate Directors of Development, two Associate Directors of Development and one Assistant Director of Development. The Development Coordinator is proactive, anticipates needs, and demonstrates responsiveness, strong customer service, and independent thinking.  The number of sophisticated donors, the fast pace of the office, and complexity of many prospects require a high level of attention to detail, flexibility, advanced computer skills, and excellent interpersonal communication. The incumbent must successfully manage high expectations, multiple demands, numerous sources of feedback and respond quickly to changing details.

 

Responsibilities:

 

Office Management:

 

Effectively communicate with high-level donors, patients, guests, faculty, department chairs, development staff, administrators and professional colleagues over the telephone, in writing, and in person.

 

Work independently, manage projects, and determine priorities. Maintain a high degree of professionalism and confidentiality. Discretion is a hallmark of this position.

 

Handle and screen incoming telephone calls, mail, faxes, electronic mail and voicemail in an efficient and organized manner.

 

Maintain significant knowledge of computer networks, specialized software programs and Windows to provide presentation materials and high volume of written correspondence and to maintain efficient office operations.

 

Exercise independent judgment in resolution of administrative issues.

 

Maintain a conflict-free calendar of meetings and appointments and plan travel itineraries, ensuring efficient use of time for Sr. Director of Development. Arrange all aspects of travel for Sr. Director.

 

Provide project management, strategies and administrative support to Sr. Director that may include phone support, document writing, agenda creation, calendar coordination. Utilize Word, Excel, Access and PowerPoint.

Coordinate appointments/referrals for Neurology VIP donors with other departments throughout the hospital. This requires excellent interpersonal skills, diplomacy and ability to multi-task. This position is responsible for communicating sensitive medical appointment related information to patients once the referral has been arranged in the event the Sr. Director is not available.

 

Budget/Financial:

 

Maintain a thorough working knowledge of SAP financial system. Monitor and reconcile on a monthly and annual basis the office budget. Order supplies, special-order materials, and equipment as needed. Process receipts and reimbursements, and coordinate payment of executive credit card and administrative purchasing card. Coordinate payment process for external vendors.

 

Development/Fundraising:

Develop and maintain expert knowledge of ALADIN and Relationship Management, including a thorough understanding of central clearance, development research protocols, and constituent management. Maintain prospect/donor portfolios for Sr. Director in ALADIN/RM to track multiple fundraising efforts.

 

Periodically process donations, in conjunction with gift processing/data specialist. Serve as a liaison with Development Business Services team.

 

Work with development team to gather and interpret information and data in preparation for donor meetings, event, presentations and proposals.

Assist with events for the Neurology Development office including donor visits, luncheons, dinners, research presentations, professorships and board meetings. Events in the Department are a multifaceted responsibility which requires working with external vendors, internal colleagues including Neurology Chairman’s office, FJHM and institutional events offices and FJHM and Institutional Donor Relations, among others. The incumbent works with the Assistant Director to track all activities, ensure timely completion of any follow up activity required by the fundraising staff.

 

Background and Experience

 

High school diploma with at least three years of experience required. Experience should be in support of academic, business, political, research and/or development activities and operations, providing high-level administrative oversight, coordination, and advice. Two years of college or commensurate work experience preferred; additional education may be substituted for years of work experience. Strong interpersonal skills and ability to work as part of a team and independently. Ability to manage projects and determine priorities. High degree of professionalism and confidentiality.

 

Strong organizational and multitasking skills required. Strong computer literacy skills required, including word processing and database management. Thorough knowledge of Windows, Word, Excel and PowerPoint. Ability to learn new software. Excellent writing, editing and verbal communication skills. Ability to work in a dynamic, fast-paced environment. Knowledge of Johns Hopkins Medicine and/or development operations highly desirable.

 

Works well under pressure and meets deadlines, has the ability to synthesize, analyze, critique. This position requires a self-starter who is both creative and imaginative, with excellent organizational skills. In addition, the following qualities are a must: excellent oral and written communications skills; demonstrated ability to address/resolve difficult multi-faceted problems; ability to work independently with authority and minimal supervision; ability to maintain confidences and discreet, tactful behavior at all times; ability to develop and maintain sound professional relationships among superiors, subordinates and peers.
