General summary/purpose:

The ETD Assistant is a member of the Digitization Services Department of the Sheridan Libraries.  The department digitizes Sheridan Libraries books, manuscripts, photographs and other scholarly materials for the research and teaching of Johns Hopkins University scholars and reviews and publishes all electronic theses and dissertations (ETD) for the University. The Unit follows the guidance of the Johns Hopkins University Doctor of Philosophy Board and the Graduate Board in all matters pertaining to the review and publishing of JHU theses and dissertations. The position reports to the Manager of Scholarly Digital Initiatives.

Specific duties & responsibilities:

  • Performs routine format checks for ETDs and records those results in the online thesis submission system.
  • Provides feedback to students when their submissions do not meet the formatting requirements of the Doctor of Philosophy Board and/or the Graduate Board.
  • Assists students in attaining proper formatting including advising them on pagination issues and producing valid PDF/a files of their work.
  • Develops training materials and formatting templates for ETD submissions.
  • Assists with demonstrations of the ETD submission tool and ETD student workflow.
  • Advises and recommends improvements to operations and workflows.
  • Produces statistical reports using ETD submission software tools.
  • Assists with testing of new ETD submission software versions and provides feedback to software developers.
  • Assists with routine scanning of library materials and other duties when demand for ETD review is light.

Minimum qualifications (mandatory):

High School diploma/GED required. Two years of related experience required. Additional education can be substituted for experience; exposure to automated library systems preferred.

Experience using Adobe Acrobat Pro and Microsoft Word; ability to understand student ETD submission questions and to respond via the telephone or email; ability to work independently during high-volume ETD submission periods; ability to switch between ETD reviews and digitization activities upon demand; ability to understand alternatives and make recommendations for improving efficiency and quality of work.

During the Influenza ("the flu") season, as a condition of employment, The Johns Hopkins Institutions require all employees who provide ongoing services to patients or work in patient care or clinical care areas to have an annual influenza vaccination or possess an approved medical or religious exception. Failure to meet this requirement may result in termination of employment.

The pre-employment physical for positions in clinical areas, laboratories, working with research subjects, or involving community contact requires documentation of immune status against Rubella (German measles), Rubeola (Measles), Mumps, Varicella (chickenpox), Hepatitis B and documentation of having received the Tdap (Tetanus, diphtheria, pertussis) vaccination. This may include documentation of having two (2) MMR vaccines; two (2) Varicella vaccines; or antibody status to these diseases from laboratory testing. Blood tests for immunities to these diseases are ordinarily included in the pre-employment physical exam except for those employees who provide results of blood tests or immunization documentation from their own health care providers. Any vaccinations required for these diseases will be given at no cost in our Occupational Health office.
