HR Coordinator

General summary/purpose:

Department of Biochemistry and Molecular Biology is seeking a motivated HR Coordinator with excellent interpersonal, organizational and mathematical skills to join our strong administrative team. Position will provide guidance and support for staff recruitment and will be responsible for monitoring and processing all HR/Payroll documents for approximately 20 faculty/staff and 80 students/fellows.  Creates and maintains employee HR/Payroll files. Provide support to the Administrator for the Department of Biochemistry & Molecular Biology.  Assists with monthly budget reconciliations and other special projects as needed.

Specific Duties/Responsibilities:

  • Will be the primary point of contact for department faculty with regards to JHU Payroll policies, procedures and practices. Advises faculty and staff supervisors on matters regarding hiring, accrued leave, FMLA, short-term disability, payroll, and etc.
  • Monitors and serves as timekeeper for staff electronic time and attendance system (e210). Prepares and processes training grant appointment and termination forms for two NIH-funded training programs.
  • Works with department Administrator and faculty to create staff job descriptions and prepare personnel requisitions for submission to Human Resources.
  • Acts as the department liaison to the School’s employment recruiters and compensation analysts as it relates to job requisitions. 
  • Monitors payroll reports and coordinates with department administrator to determine necessary action.
  • Initiates all electronic forms for hiring, effort reports, salary changes, bonus/supplements, terminations, etc. (ISRs), and salary support reallocations (e_forms).
  • Responsible for electronic time entry for hourly employees (CATS) and approval of time entry for bargaining unit employee (Kronos).
  • Serves as department liaison to the Office of International Services, preparing visa sponsorship documents, and ensuring all visa applications and extensions are submitted completely and correctly. Maintains system for monitoring work authorizations and prompting international employees and students when action is required.
  • Assists the Academic Program Administrator with student tracking and other special projects as needed. Prepares reports for department administrator as related to department budgets and salaries.
  • Monitor and reconcile department default accounts.
  • May assist the financial team in preparation of journal vouchers, purchase orders, check requisitions and special projects.
  •  Other duties as assigned

Minimum qualifications:

High School Diploma/GED requires. Three (3) years related experience to include administration of family medical leave and other leave administration required.

Additional education may substitute for required experience, to the extent permitted by the JHU equivalency formula.

JHU Equivalency Formula:  30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience.  Additional related experience may substitute for required education on the same basis.  For jobs where equivalency is permitted, up to two years of non-related college course work may be applied towards the total minimum education/experience required for the respective job.

Special knowledge, skills, and abilities:

Ability to act independently with minimal direction and make decisions that support the team and promote the organization mission. Has strong customer service and conflict resolution skills, strong verbal and written communications skills, and active listening skills. Ability to analyze and interpret data, reports, and policy information. Proficient computer skills including MS Word, Excel and Outlook are highly desired along with the ability to generate reports.


Role/Level/Range: ATO/02/OE

Starting Salary Range:   $18.75-$20.67

Employee Group: Full-Time

Schedule: M-F; 40 hrs/wk

During the Influenza ("the flu") season, as a condition of employment, The Johns Hopkins Institutions require all employees who provide ongoing services to patients or work in patient care or clinical care areas to have an annual influenza vaccination or possess an approved medical or religious exception. Failure to meet this requirement may result in termination of employment.


The pre-employment physical for positions in clinical areas, laboratories, working with research subjects, or involving community contact requires documentation of immune status against Rubella (German measles), Rubeola (Measles), Mumps, Varicella (chickenpox), Hepatitis B and documentation of having received the Tdap (Tetanus, diphtheria, pertussis) vaccination. This may include documentation of having two (2) MMR vaccines; two (2) Varicella vaccines; or antibody status to these diseases from laboratory testing. Blood tests for immunities to these diseases are ordinarily included in the pre-employment physical exam except for those employees who provide results of blood tests or immunization documentation from their own health care providers. Any vaccinations required for these diseases will be given at no cost in our Occupational Health office.
