General summary/purpose:

The Department of Epidemiology is seeking a full-time Human Resources Coordinator.  The position reports directly and provide back-up support to the HR Generalist to ensure smooth and efficient HR functions for the division to include providing a wide range of HR support services to faculty, staff, students, supervisors and administration. 

S/he will be responsible for student and postdoc hiring and onboarding to include I9 and employment verification, and communications with students and faculty/staff and payroll and time keeping.  S/he will be responsible for all ISR (internal service requests) and payroll processing for students and staff.  S/he will be responsible for maintaining personnel records, training and education tracking, HR-related report generation, and other HR-related support activities.

Specific Duties/Responsibilities:

  • Responsible for student and postdoc hiring and onboarding, I9 and employment verification, and communications with students and faculty/staff. 
  • Responsible for all ISR (internal service requests) and payroll processing for students and staff. 
  • Responsible for maintaining personnel records and filing
  • Track training and education
  • Coordinate student employment process, in collaboration with hiring managers and divisional human resources, in accordance with all applicable university policies and procedures
  • Prepares payroll forms; monitors and maintains appropriate payroll related documents; prepares semi-weekly payroll; researches and resolves payroll issues for employees.
  • Monitor time and attendance forms for staff via E210 system.
  • Responsible for creating and initiating multiple reports including ISR tracking, student hire tracking, payroll processing, overpayments, E210 reporting, and introductory review completion.
  • Primary point of contact for faculty, staff, student and postdocs on payroll policies and procedures.
  • Assists with onboarding and termination processes for new hires and terminating employees including retrieval of badges, initiating IT support, and ISR processing.
  • Responsible for the distribution of 120-day reviews from HR to supervisor.
  • Assist HR Generalist in partnering with hiring managers to maintain updated job descriptions for all staff within the department
  • Assists HR Generalist with staff and faculty new hire onboarding activities
  • Assist HR Generalist in developing departmental practices and procedures that comply with those of the School of Public Health and University.

Minimum qualifications:

High School Diploma/ GED and a minimum of three (3) years of related experience.

Additional education may substitute for required experience and additional related experience may substitute for required education, to the extent permitted by the JHU equivalency formula.

JHU Equivalency Formula:  30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience.  Additional related experience may substitute for required education on the same basis.  For jobs where equivalency is permitted, up to two years of non-related college course work may be applied towards the total minimum education/experience required for the respective job.

Preferred qualifications:

Strong initiative, and self-drive

SAP payroll and ISR processing experience is strongly desired.

Prior Payroll experience strongly preferred.

Special knowledge, skills, and abilities:

  • Must be detailed oriented
  • Must have excellent oral and written communication skills
  • Must be able to work with confidentiality and discretion regarding highly confidential HR and personnel related issues
  • Must have excellent organizational skills with a focused attention to detail and an ability to manage multiple/competing priorities
  • Must be proficient with basic mathematical calculations and basic accounting practices.
  • Must be able to demonstrate ability to show good judgment in handling highly confidential and sensitive matters
  • Must have strong computer skills to include Microsoft Office Suite, Internet.
  • Working knowledge of federal, state and local laws and regulations in human resources; working knowledge of emerging trends and practices preferred

The pre-employment physical for positions in clinical areas, laboratories, working with research subjects, or involving community contact requires documentation of immune status against Rubella (German measles), Rubeola (Measles), Mumps, Varicella (chickenpox), Hepatitis B and documentation of having received the Tdap (Tetanus, diphtheria, pertussis) vaccination. This may include documentation of having two (2) MMR vaccines; two (2) Varicella vaccines; or antibody status to these diseases from laboratory testing. Blood tests for immunities to these diseases are ordinarily included in the pre-employment physical exam except for those employees who provide results of blood tests or immunization documentation from their own health care providers. Any vaccinations required for these diseases will be given at no cost in our Occupational Health office.
