Practice Management Analyst

Full-time position with Department of Oncology; Monday - Friday; 37.5 hours per week


The Department of Oncology is seeking a Practice Management (PMA) to provide administrative oversight for all clinical faculty, clinical associates, clinical fellows and advanced practice providers. The position maintains a consultative relationship with division and disease based program leaders including reporting on practice activity and performance.  The PMA performs regular performance measurement and analysis and reports on such to the senior leadership and division directors as well as all other appropriate parties. The PMA performs data collection, review, analysis and reporting for all clinical practice business operations.   Identifies opportunities for continuous performance improvement and presents issue resolution plans and progress to staff, and faculty.  The PMA is responsible for onboarding clinical faculty, fellows and staff and for developing and implementing strategies to ensure continuous training as it relates to the clinical practice. The PMA reports directly to the department Associate Administrator and provides support to all Divisions in the Department of Oncology.  The PMA works closely with other Departments’ representatives, JHU Administration, and other related external contacts.  The PMA will report directly to the Clinical Director and Associate Administrator.


Clinical Practice Administration:


  • Provide comprehensive reporting of all clinical activity and clinical productivity
  • Implement systems and controls to ensure timely submission of charges and closing of encounters.  Identifies problem areas, analyzes data, and develops performance improvement plans.
  • Provides on boarding and orientation to the clinical practice to new clinical faculty, clinical fellows and advanced practice providers.
  • Collaborates with Program Leaders to recruit and manage advanced practice providers.  Ensures credentials are approved and maintained; evaluates workload and recommends balanced alignment of practitioner to physician. 
  • Coordinates the timely completion of performance reviews for solid tumor advanced practice providers.
  • Ensures provider compliance requirements are met prior to initiating clinical activity.   Enrolls providers in all required courses including compliance training, Epic training.  Ensures proper assignment of roles in all clinical information systems.
  • Ensures timely dissemination of Compliance Office polices and arranges in-service training when needed.   Serves as the administrative representative on Compliance Office remedial training sessions with providers.
  • Assists providers with the adoption of documentation templates and work habits to ensure compliance with Institutional standards and guidelines. 
  • Assist the Clinical Director and Administrators in strategic planning and special projects. Serves on committees as directed. 
  • Review and prepare business plans for existing units or potential new business opportunities, as requested by Clinical Director and Administrators. 
  • Serves as an Epic user support expert to faculty, clinical fellows, and advanced practice providers. Engages Epic technical support and Epic Application Coordinators to address system related questions and issues. Administratively lead efforts to recommend and guide system enhancements related to the clinical practice.
  • Works with providers to adopt best practices
  • Manages all faculty activities related to the Oncology clinical practice. Develops attending schedules, housestaff schedules, fellow supervision schedules.


Medical Oncology Administration:


  • Oversees the Medical Oncology Fellowship Training Program and House staff Rotation in Oncology.  Ensures compliance with ACGME guidelines.
  • Overall management of the Fellowship Program and supervises the Fellowship Program Coordinator
  • Manages all faculty activities related to the Oncology clinical practice. Develops attending schedules, housestaff schedules, fellow supervision schedules.
  • Creates and monitors schedule to ensure effective training as well as compliance with hour mandates
  • Arranges coverage for all services in the Oncology Center to guarantee fellow/physician coverage at all times on all services
  • Coordinates structured year-long training program for fellows in their first year of the fellowship program.
  • Coordinates and oversees facilities and space issues for the Medical Oncology Division faculty staff and clinical fellows.
  • Responsible for administrative oversight of the Medical Oncology organization unit.  Analyze and implement staff structure, capabilities and development to meet the current and future needs of the division
  • Supervise administrative staff consisting of administrative assistant and the Fellowship Program Coordinator
  • Assists faculty with human resources issues including hiring/firing, discipline, time sheet approval and other matters.




Bachelor’s degree in business, finance or other related field and five years progressively responsible professional level experience required. Master’s degree in a related field may substitute for required experience and additional experience may substitute for education, to the extent permitted by the JHU equivalency formula.

JHU Equivalency Formula:  30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience.  Additional related experience may substitute for required education on the same basis.  For jobs where equivalency is permitted, up to two years of non-related college course work may be applied towards the total minimum education/experience required for the respective job.

During the Influenza ("the flu") season, as a condition of employment, The Johns Hopkins Institutions require all employees who provide ongoing services to patients or work in patient care or clinical care areas to have an annual influenza vaccination or possess an approved medical or religious exception. Failure to meet this requirement may result in termination of employment.


The pre-employment physical for positions in clinical areas, laboratories, working with research subjects, or involving community contact requires documentation of immune status against Rubella (German measles), Rubeola (Measles), Mumps, Varicella (chickenpox), Hepatitis B and documentation of having received the Tdap (Tetanus, diphtheria, pertussis) vaccination. This may include documentation of having two (2) MMR vaccines; two (2) Varicella vaccines; or antibody status to these diseases from laboratory testing. Blood tests for immunities to these diseases are ordinarily included in the pre-employment physical exam except for those employees who provide results of blood tests or immunization documentation from their own health care providers. Any vaccinations required for these diseases will be given at no cost in our Occupational Health office.
