Sr. Academic Program Coordinator

We are seeking a Sr. Academic Program Coordinator who will provide administrative support for the graduate master's programs in the Department of Computer Science. The position will support the academic staff with activities related to student services, admissions, data, payroll, student enrollment, special events and other areas as needed.


Specific Duties & Responsibilities


MS programs

  • Access student application data and assist with making it accessible to CS and ISI faculty for admissions review.
  • Input admissions decision updates in SLATE and make notifications via email.
  • Respond to prospective applicant inquiries.
  • Plan and organize new student orientation sessions.
  • Coordinate MSSI seminars to include speaker invitations, arranging the visit, room setup, post seminar follow-up and calendar updates.
  • Manage updates to the student databases.
  • Provide assistance with DGA entry.
  • File research project agreement forms and track completion.
  • Assist with various student outreaches i.e. non-registration, enrollment compliance and others as needed.
  • Process templated letter requests for students.
  • Update CLSS each semester with course listing changes.
  • Assist with, and eventually assume responsibility for course scheduling updates each semester.
  • Assist with the student conferral process to include, graduate list form submissions, compiling conferral packets and following up with students as needed to ensure receipt of all needed documentation.
  • Attend various event planning sessions hosted by various partner groups.
  • Proctor exams as needed.
  • Schedule classroom assignments for program courses.
  • Initiate payroll for research assistants and admissions reviewers in SAP.
  • Update web page content specific to the graduate academic programs as needed.
  • Work with various partner departments to resolve basic student problems.
  • Update the student email listservs.
  • Administer campus tours for prospective applicants.
  • Create and design surveys for various student tracking purposes.
  • Participate in WSE MS commencement ceremony and related events.


General

  • Order food, supplies and manage communications for special events in partnership with Academic Program Managers.
  • Other administrative office-related tasks as needed.
  • Collaborate with the other Sr. Academic Program Coordinator with tasks and responsibilities as needed.

  • Strong organizational, administrative, and problem-solving skills and attention to detail.
  • Excellent customer service skills and ability to interact effectively with students, faculty, academic officials, and staff.
  • Excellent written and oral communication skills.
  • Ability to manage multiple priorities as well as adapt to changing needs.
  • Ability to utilize academic databases and admissions systems.
  • Ability to manage, organize and analyze datasets of student and programmatic information.
  • Creativity, good judgment, organizational skills, attention to detail, and ability to problem solve.
  • Must be independent, professional, approachable, and team oriented.
  • Understanding of maintaining sensitive data and adhering to FERPA regulations.
  • Proficiency of PC-based software applications such as Microsoft Word, Excel, Outlook, and PowerPoint.
  • Familiarity with DGA, SIS, SAP, SLATE and WordPress are preferred but not required.


Physical Requirements 

  • Sitting for extended periods of time.
  • Lifting and or moving tables, boxes, etc.


Minimum Qualifications
  • High School Diploma or graduation equivalent. Bachelor's degree preferred.
  • Five years progressively responsible administrative/academic experience.
  • Additional education may substitute for required experience, to the extent permitted by the JHU equivalency formula.


Preferred Qualifications
  • Bachelor’s Degree preferred.
  • Excellent organizational, analytical, interpersonal, oral, and written communication skills.
  • Ability to work independently.

The referenced base salary range represents the low and high end of Johns Hopkins University’s salary range for this position. Not all candidates will be eligible for the upper end of the salary range. Education and Experience Equivalency
Please refer to the job description above to see which forms of equivalency are permitted for this position. If permitted, equivalencies will follow these guidelines: JHU Equivalency Formula: 30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience. Additional related experience may substitute for required education on the same basis. For jobs where equivalency is permitted, up to two years of non-related college course work may be applied towards the total minimum education/experience required for the respective job.
