Summary of Responsibilities:

The Donor Relations and Stewardship team works collaboratively with colleagues across medicine and the institution to build stronger donor relations, acknowledgment, and recognition processes, allowing staff to focus on cultivation, fundraising, and ensuring donors and alumni remain connected to Johns Hopkins.  We operate as a central service to the Fund for Johns Hopkins Medicine (FJHM) in regard to acknowledgments, donor/alumni relations, building recognition, building tours, and other needs as warranted.   


Specific Responsibilities:



Manages the daily acknowledgment letter process for gifts/pledges to Medicine for the President of the University, the Dean and CEO of Johns Hopkins Medicine, and the President of The Johns Hopkins Hospital and Health System.

  • Reviews daily gift and pledge reports run by the Administrative Coordinator.
  • Reviews all leadership acknowledgments drafted by the Administrative Coordinator. 
  • Obtains departments and DOFFs approval for leadership acknowledgments
  • Produces and reports on bi-yearly, monthly, and weekly acknowledgment tracking.
  • Assists with acknowledgment drafting and review at the end of the calendar year and as necessary throughout the year. 
  • Develops drafts for priority acknowledgments.
  • Understands the University’s donor database (ALADIN), especially Relationship Management. Pulls lists, reports data, as requested.
  • Drafts condolence letters for the offices of the Dean and CEO of Johns Hopkins Medicine and the President of The Johns Hopkins Hospital and Health System.
  • Drafts and edits special and requested letters, biographies, and other writing projects as requested from development officers.
  • Works with the Administrative Coordinator to write leadership acknowledgment templates to be used at the beginning of every fiscal year.
  • Recommends improvements in acknowledgment policy to the Associate Director of the Donor Relations and Stewardship department.
  • Works with the Administrative Coordinator to facilitate acknowledgment training/information sessions, including training new Donor Relations and Stewardship staff.



  • Act as lead tour guide for the department of the Sheikh Zayed Tower and The Charlotte R. Bloomberg Children’s Center for donors, prospects, and other individuals.  Coordinator tours with other members of the department when not available. 
  • Maintain and update, as needed, tour manual of new buildings for colleagues to use with donors, prospects, and other individuals.  Offer tour trainings to new employees two times per year through DAR training. 
  • Request assistance of Associate Director when needed.


  • Assist with creative, personalized stewardship tasks and projects for FJHM departments including, but not limited to, photobooks, impact reports, and videos.
  • Utilizes the Adobe Suite systems to assist with creating print collateral for the Stewardship team, including, but not limited to, Live the Mission event, save the dates, invitations, and brochures.



  • Assist the Associate Director in partnering with the development, implementation, and management of a stewardship program for FJHM active stewardees and dormant and permanent stewardees.
  • Assists colleagues with the FJHM professorship stewardship process, including assistance with the drafting of letters from chair holders and creation/signature of a cover letter from the Dean of the School of Medicine; works with DOFFs to ensure all donors are properly stewarded and communicates with the Office of Donor and Volunteer Engagement.
  • Coordinates with the Office of Donor and Volunteer Engagement and all Medicine departments to ensure information for Medicine professorships (donors and faculty members) on the Professorship Stewardship website is accurate and up-to-date.
  • Maintains a resource archive of information regarding Medicine from development officers and continues to foster relationships with the departments to obtain materials in a timely manner. 
  • Partner with the Office of Donor and Volunteer Engagement on the completion of medicine Dormant/Permanent donors by contacting development and clinical departments for information, drafting letters, updating relationship management actions, and other stewardship tasks as necessary.



  • Assists with stewardship related events in partnership with the Associate Director; assists with FJHM events on an as needed basis.
  • Assists with the execution of at least 3 Live the Mission Events during the Fiscal Year in partnership with other development offices at the Fund for Johns Hopkins Medicine.
  • Drafts biographies, on an as needed basis, for donor and key participants in FJHM events from materials received from development officers, faculty members, ALADIN data, and internet searches



  • Utilizes computers for word processing, mail merging, maintaining lists, updating database records, and producing varied reports.
  •  Understands the University’s donor database, known as ALADIN, and its various modules, especially Relationship Management.
  • Solves problems in a timely and customer-service oriented manner for issues directed to Donor Relations and Stewardship by e-mail, telephone, or mail from other FJHM staff and from donors, prospects, and faculty.  Exercises good judgment, maintains good relationships, and communicates effectively with these groups.
  • Assists the Donor Relations and Stewardship staff as necessary.
  • Performs other duties including, but not limited to, photocopying, mailing, and training as necessary.



  • High School Diploma/GED required. Five (5) years related experience required. Additional education may substitute for required experience, to the extent permitted by the JHU equivalency formula. Bachelor’s degree preferred.
  • Excellent administrative skills, as well as superior planning, communication, and follow-through abilities.
  • Strong attention to detail.
  • Must possess excellent verbal, interpersonal, and written communication skills.
  • Perform will under pressure and within time constraints with a high degree of accuracy and diplomacy.
  • Must possess excellent word-processing and database management skills; significant PC experience with a thorough working knowledge of Windows, Word, Excel, Access, PowerPoint, the internet, and the ability to learn new software.  SAP knowledge preferred.
  • Basic knowledge of the Adobe Suite systems.
  • Ability to use email marketing systems such as Constant Contact preferred.
  • Ability to use social media tools preferred.
  • InDesign experience preferred. 
  • Knowledge of content management systems such as Site Executive.
  • Ability to multi-task and prioritize in a well-organized manner.
  • Self-initiated/proactive problem solver.
  • Ability to work independently and as part of a team.
  • Ability to sit for eight (8) hours straight and to stand for various time lengths.
