HR Coodinator:

 

The Talent Management & Human Resources team is currently seeking a Human Resource Coordinator.  This role is a key contributor to the Talent Management & HR team as the face of the HR organization, by serving as initial point of contact for our Development and Alumni Relations (DAR) employees across the University and Medicine. Responsibilities are multifaceted in this role. The ideal candidate will help the department to function effectively and efficiently.  In this role, you will have an opportunity to work with a wide realm of HR responsibilities including talent acquisition, learning and development, data management and daily human resources operations and will refer inquiries and issues to the appropriate member of HR when necessary. 

The individual in this role should be highly deadline-oriented, with strong multitasking, project management, and prioritization skills. It is also vital that they display excellent verbal and interpersonal skills.

 

 

Primary Duties & Responsibilities Include:

 

Administrative Support (30%)

  • Provide administrative support to the head of the HR office.
  • Provide efficient and timely limited administrative operations for the HR team.   
  • Maintains supply stock, placing orders for supplies when appropriate. 

 

HR Operations (50%)

The ideal candidate will handle a broad range of day-to-day human resource operating activities, to include but not limited to:

  • Serve as initial point of contact for internal and external customers and refers inquiries and issues to appropriate member of HR when necessary.
  • Process a variety of transactions related to initial employment and associated changes including hires, transfers, terminations, leaves of absence, and changes in pay and scheduled hours with a high level of accuracy. 
  • Establish and deliver HR metrics/dashboard and analytics to support executive leadership with quarterly and monthly reviews; ensuring that HR data is kept current, accurate and readily available will be a critical responsibility of this role.
  • Provide guidance to managers and employees in completing changes to employee and position data and related information.  Maintains position management by ensuring the accurate and timely implementation of new, revised and deleted positions and cost centers.   
  • On a regular and continuous basis, exercises administrative judgment on establishing departmental operation goals, standards, policies and procedures.
  • Maintain diplomacy in general communications.
  • Partner with the Centers of Excellence (COEs) in the University’s Central HR office to implement pertinent programs and policies.
  • Provides leadership and oversees employee information collection, analysis and reporting; supervises the input of data and ensures data integrity.
  • Partner with internal stakeholders to proactively audit data and processes to ensure accuracy and compliance with state and federal regulations. 
  • Monitor HR projects and workflow.
  • Identify solutions that meet the needs of the HR functions by proactively recommending process improvements, system enhancements and alternatives based on specific needs.
  • Proactively identify and employ HR best practices aligned to business strategy.
  • Serve as the units system administrator for multiple HR Systems such as SAP and SuccessFactors.

 

Employee Communications (20%)

  • Maintain employee email distribution lists.
  • Maintain DAR Careers Website and DAR HR pages on Intranet.
  • Coordinate DAR employee messages and distribution.
  • Support employee survey process and tool.

  • Strong ability to execute simple and complex projects (from conception to implementation) with a senior stakeholder population.
  • Ability to communicate effectively with all levels of the employee population, including executives.
  • Ability to maintain integrity of confidential/sensitive information.
  • Attention to detail with both quantitative and qualitative outputs.
  • Advanced skills in MS Excel and MS PowerPoint.
  • Working knowledge of Tableau.
  • Understanding of sensitive materials.
  • Excellent organizational skills.
  • Ability to prioritize and multitask and problem-solve in a fast-paced environment.
  • Demonstrated ability to take initiative and be proactive when finding answers and resolving issues.
  • Demonstrated use of sound judgment in order to quickly and satisfactorily solve a variety of very sensitive problems.

 

 

Required Education & Experience:

 

  • High School Diploma/GED required. Bachelor’s degree strongly preferred. Additional education may substitute for required experience, to the extent permitted by the JHU equivalency formula.
  • Three years related experience required; prior exposure to the human resources function considered a plus. Additional experience preferred.
  • Additional education may substitute for required experience, to the extent permitted by the JHU equivalency formula.
  • Strong computer skills in MS Office suite including PowerPoint and Word; proficiency with Excel.

The pre-employment physical for positions in clinical areas, laboratories, working with research subjects, or involving community contact requires documentation of immune status against Rubella (German measles), Rubeola (Measles), Mumps, Varicella (chickenpox), Hepatitis B and documentation of having received the Tdap (Tetanus, diphtheria, pertussis) vaccination. This may include documentation of having two (2) MMR vaccines; two (2) Varicella vaccines; or antibody status to these diseases from laboratory testing. Blood tests for immunities to these diseases are ordinarily included in the pre-employment physical exam except for those employees who provide results of blood tests or immunization documentation from their own health care providers. Any vaccinations required for these diseases will be given at no cost in our Occupational Health office.
