Events Coordinator

This position will coordinate AAP events including, but not limited to online and in-person graduate program open houses, new student orientations, graduation, job fairs, and other events as determined by the event coordinator with the primary focus to grow enrollment.

Essential Duties & Responsibilities:

Event Coordination and Planning Responsibilities

  • Plan, design, and produce admissions and student services events while managing all project delivery elements within time and budget limits.
  • Liaise with admissions and student services to coordinate and plan effective orientations, graduation, job fairs, and prospective student open houses.
  • Provide feedback and periodic registration and attendee reports to stakeholders.
  • Provide training support materials and expertise to improve provided services and event quality.
  • Book facilities and venues.
  • In consultation with the department event lead, coordinate event details such as decor, catering, entertainment, transportation, location, invitee list, special guests, technical equipment, promotional material, security, etc.
  • Mitigate event risk by working with the senior risk manager to ensure compliance with

insurance, legal, health and safety obligations.

  • Specify event staffing requirements and coordinate their activities with the help of the department event lead.
  • Promote and publicize orientations, graduation, job fairs, and prospective student open houses.
  • Proactively assist with any arising issues and help troubleshoot and provide solutions to emerging problems before, the day of, and the days following the events listed above.
  • Admissions, Career Services and Student Services Responsibilities
  • Plan and coordinate in corporation with the:
    • Student Services manager a fall and spring orientation, and spring graduation.
    • Career Services manager a fall and spring job fair.
    • Admissions manager a fall and spring prospective student open house.

Event Communications Responsibilities

  • Plan Manage and Update the AAP Events Calendar
  • Manage the AAPEvents email box and reply to inquiries as needed.
  • Conduct promotion communication outreach to prospective students, current students, and alumni for the above-mentioned events. 
  • Conduct pre- and post – event evaluations and report on outcomes.
  • Assist with other AAP events as bandwidth dictates.
  • Event Planner shall assist in the creation of photographic social media content by attending on campus events.
  • Other duties as assigned.

Online and Off-Campus Event Coordination and Marketing Special Projects

  • Serve as the Administrator for the Event and Marketing Request Management System
  • Provide ROI analytics on event attendance and promotion as assigned.
  • Coordinates the development, execution, and rollout of promotional and public relations strategy, content, design, print, and display materials for event and marketing special projects. 
  • Assist with other event and marketing special projects as assigned


  • High School diploma/GED required. Three years of related experience required. Additional education may substitute for required experience to the extent permitted by the JHU equivalency formula.
  • Bachelor’s degree in Event Management, English, Communication, or Journalism desired
  • Proficient use of Microsoft Office, Event Management Tools, Email Marketing, Social Media and Live Streaming Tools

JHU Equivalency Formula:  30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience.  Additional related experience may substitute for required education on the same basis.  For jobs where equivalency is permitted, up to two years of non-related college course work may be applied towards the total minimum education/experience required for the respective job.

Knowledge and Skill:

  • Excellent communication skills, including writing, proof reading skills, and speaking.
  • Ability to manage multiple projects and work assignments from a variety of staff and volunteers.
  • Excellent interpersonal skills both in person and by phone, with high professionalism.
  • Ability to accomplish projects with little supervision.
  • Ability to understand and manage event budgets.
  • Fantastic customer service ethic and high expectations for quality

Starting Salary Range: $16.91 - $23.25/hour

During the Influenza ("the flu") season, as a condition of employment, The Johns Hopkins Institutions require all employees who provide ongoing services to patients or work in patient care or clinical care areas to have an annual influenza vaccination or possess an approved medical or religious exception. Failure to meet this requirement may result in termination of employment.

The pre-employment physical for positions in clinical areas, laboratories, working with research subjects, or involving community contact requires documentation of immune status against Rubella (German measles), Rubeola (Measles), Mumps, Varicella (chickenpox), Hepatitis B and documentation of having received the Tdap (Tetanus, diphtheria, pertussis) vaccination. This may include documentation of having two (2) MMR vaccines; two (2) Varicella vaccines; or antibody status to these diseases from laboratory testing. Blood tests for immunities to these diseases are ordinarily included in the pre-employment physical exam except for those employees who provide results of blood tests or immunization documentation from their own health care providers. Any vaccinations required for these diseases will be given at no cost in our Occupational Health office.
