HR Assistant

The Human Resources Assistant serves as the first point of contact by providing courteous customer service on behalf of the Office of Human Resources and Payroll Services at SAIS. Responsible for timely correspondence to all email requests submitted through the main HR inbox. Performs administrative support duties of a sensitive nature related to all HR/payroll transactions, onboarding, I-9 processing/compliance, maintaining employee files, and calendar management. Acts as liaison between OHR and SAIS programs/departments. Provides administrative support to Human Resources Director and Human Resources Business Manager.


Administrative Support (50%)

  • Provides administrative support to Human Resources Director and Human Resources Business Manager by maintaining calendars, coordinating schedules, travel itineraries, and other appointments.             
  • Ensures all new hire checklist is completed.
  • Creates and maintains all employee files.
  • Assists Payroll Services with the collection and processing of employee time sheets in CATS.
  • Prepares and processes personnel action transactions (Internal Service Requests) in SAP for hiring, promotions, transfers, terminations, LOA, and personnel information changes.
  • Coordinates HR event logistics for staff meeting and other SAIS wide events and reserves meeting rooms accordingly through 25Live.
  • Picks-up, sorts and distributes mail daily.
  • Process JHED requests for Visiting Scholars.
  • Provide process improvement recommendations to improve efficiency.
  • Supports HR Business Manager with budget management, reporting, and reconciliation.
  • Maintain confidentiality and discretion at all times.
  • Performs other duties as assigned.


HR Communication (25%)

  • Responsible for managing the HR email inbox. Serves as the initial point of contact for inquiries to the office by email or phone. Responds to all inquiries and provides information or refers to appropriate individual.
  • Provides professional and proactive customer service to faculty, staff, students, and other stakeholders at JHU at all times.
  • Communicates respectfully with a diverse community.


HR Compliance (25%)

  • Process all electronic I-9s for all new hires for all JHU Washington, DC based employees.
  • Audit all I-9s for active employees annually.
  • Adheres to university recordkeeping policies. Consults with HRD and HRBM regarding documents and employee file retention.
  • Ensures Wage & Hour posters are up to date. Audit posters annually for compliance.

  • Two years of experience in administrative/clerical or related experience required
  • Three or more years of experience of advanced MS Office Suite, database, data collection, electronic data compilation and report generation experience
  • Previous experience working with SAP, or other HR/payroll enterprise system helpful
  • Previous experience in HR and/or an academic setting preferred
  • Knowledge of or interest in Human Resources would be a plus.



  • High School Diploma/GED – Required
  • Bachelors - Preferred
  • Equivalent combination of education and experience will be considered

  • During the Influenza ("the flu") season, as a condition of employment, The Johns Hopkins Institutions require all employees who provide ongoing services to patients or work in patient care or clinical care areas to have an annual influenza vaccination or possess an approved medical or religious exception. Failure to meet this requirement may result in termination of employment.

  • The pre-employment physical for positions in clinical areas, laboratories, working with research subjects, or involving community contact requires documentation of immune status against Rubella (German measles), Rubeola (Measles), Mumps, Varicella (chickenpox), Hepatitis B and documentation of having received the Tdap (Tetanus, diphtheria, pertussis) vaccination. This may include documentation of having two (2) MMR vaccines; two (2) Varicella vaccines; or antibody status to these diseases from laboratory testing. Blood tests for immunities to these diseases are ordinarily included in the pre-employment physical exam except for those employees who provide results of blood tests or immunization documentation from their own health care providers. Any vaccinations required for these diseases will be given at no cost in our Occupational Health office.
