General Description


This position is responsible for providing broad administrative support and office coordination to the Assistant Dean for Faculty Affairs and will serve as the first point of contact for inquiries and visitors. Duties will be of a sensitive and confidential nature and will require the ability to communicate in a highly professional manner with faculty, university leadership, and external VIPs/contacts. The individual will provide support related to the implementation of strategic and operational priorities, to include: newly devised and existing policies and procedures; curriculum support as it relates to faculty affairs, in coordination with the Assistant Dean of Academic Affairs; faculty on-boarding, appointments, evaluations, committees, and events; detailed tracking of faculty-related data and applicable data analysis; school-wide events tracking for strategic planning and coordination; and regular monitoring of institutional and federal regulation compliance matters (such as Conflict of Interest and Institutional Review Board policies) and JHU-SAIS integration issues. The individual will also conduct background research for various projects and help coordinate information organization/sharing among the various parties within the Office of Academic and Faculty Affairs and external parties as appropriate. The individual will be responsible for developing/maintaining faculty-related databases.

Duties and Responsibilities:

  • Assist with the various steps involved in faculty onboarding:communications with the new faculty member, as appropriate, coordination with Human Resources, IT, the Communications Office, the SAIS Library, and other relevant JHU SAIS parties, as needed.
  • Draft faculty appointment letters for review by the Assistant Dean for Faculty Affairs, manage related communications with faculty members and relevant parties, as appropriate.
  • Support the Assistant Dean for Faculty Affairs with various categories of faculty-related activities and tracking, to include: Events, Evaluations, Faculty-Force (university-wide faculty database), Committees, Web entries/updates related to faculty bio pages and other areas, Compliance issues (Conflict of Interest, JHU Institutional Review Board policies, etc.).
  • Assist with data gathering as needed, in coordination with the Assistant Dean of Academic Affairs and other members of the Office of Academic and Faculty Affairs.
  • Provide support as needed with various central JHU integration issues and initiatives, such as the Faculty Diversity Initiative, Academic Integrity Policies, the SAIS Strategic Plan, etc.
  • Conduct background research for special projects, as needed.
  • Implement a system for school-wide events tracking to enhance strategic planning and coordination of faculty-related events, devise a strategy for information coordination within the Office of Academic and Faculty Affairs, and develop and/or maintain internal faculty databases.
  • Provide support as needed to the Academic and Faculty Affairs Policy Director on: Job postings and search committees, implementing the use (including training) of Interfolio as the main search tool, related communications (with candidates, committee members, etc.), logistical issues related to candidate visits (travel, room bookings, schedule).
  • Provide general administrative support as needed to the Assistant Dean for Faculty Affairs and other Academic and Faculty Affairs senior staff on overlapping areas: Review/monitor office budgets, act as the first point of contact for general faculty affairs inquiries and visitors, as appropriate.


Excellent office management skills, exceptional written and oral communication skills in order to interact with all levels of administration, faculty, and outside parties from diverse cultures and of diverse ages, strong organizational and project management skills with acute attention to detail, creative innovator who is able to work independently and in a team environment, self-starter, ability to adapt to new and rapidly changing situations, sensitivity to culturally diverse situations in a dynamic international environment, strong office software and database skills – Intermediate to Advanced levels of Microsoft Office Suite (Word, Excel, PowerPoint), commitment to diversity and to serving the needs of a diverse community. Experience in a university and/or educational environment working with faculty and administrators, working in collaboration with various academic offices and divisions, some international exposure is a plus. Bachelor’s degree or equivalent
