General Description

General Summary:

The Administrative Supervisor works for the Johns Hopkins Center for American Indian Health (Center) as part of its field-based leadership team. This is a full-time exempt position. This position works together with the Center’s field and Baltimore-based Behavioral Health team to develop and coordinate delivery of field-based public health services. This position reports to the Field Director.

The Center has a mission to work in partnership with American Indian tribes to raise the health status and self-sufficiency of American Indian people to the highest possible level. This mission is accomplished through three core activities: 1) research, 2) service, and 3) training. The goals of the Center projects are to evaluate the impact and efficacy of research projects aimed at improving health outcomes for Native American families and communities. Study data results will focus on public health outcomes specific to the approved protocols at the worksite.

Duties and Responsibilities:

Creatively, and with great enthusiasm for service, organizes and provides administrative support for the field operations of the Johns Hopkins University Bloomberg School of Public Health Center for American Indian Health ("CAIH"). Coordinate office services such as purchasing, records control, and other administrative activities for CAIH.

Under general supervision, but according to established policies and procedures is responsible for providing secretarial, clerical and administrative support services, such as preparing, editing and distributing correspondence and reports in final form, receiving and screening visitors and phone calls, scheduling meetings, maintaining files, and conducting special projects as assigned. Collaborate with other support personnel within the department as required.

Assist with special events planning. Assist with preparation of training and teaching materials for new hire orientation and ongoing staff training.

Assist with the administration of research activities by interfacing with Research Administration. Coordinate arrangements for research related meetings, assist with field program documentation needs.

Prepare and edit letters, memoranda, reports, agendas, meetings minutes, grant proposals, charts, tables, abstracts, talks, manuscripts and course material from transcriber and rough drafts. Compose outgoing correspondence. Receive and read incoming correspondence; review, sort, and direct as appropriate; act on matters requiring reply in absence of a faculty member by handling personally or directing to other staff members as appropriate.

Operate personal computer to access e-mail, electronic calendars, and other basic office support software.

Use various software applications, such as spreadsheets, relational databases, statistical packages, and graphics packages to assemble, manipulate and/or format data and/or reports for clinical, operational, educational and research activities. Maintain personal calendar and arrange meetings, conferences, clinical schedule, interviews, appointments, travel and accommodations for CAIH staff.

Prepare reimbursements, making sure that supporting documentation is included, and ensuring they are properly reimbursed from appropriate sources.

Function as liaison of professional activities, responsibilities, duties and obligations for the CAIH field director taking appropriate action on routine items.

Assist field Administrative Coordinator and perform other duties as required.

Qualifications

Education/Experience:

High School Diploma/GED required. Bachelor's degree preferred. Five years progressively responsible administrative experience required. CPR certification required. Supervisory experience, experience in training/teaching, and proficiency in Microsoft Word, Excel, and Power Point preferred.

During the Influenza ("the flu") season, as a condition of employment, The Johns Hopkins Institutions require all employees who provide ongoing services to patients or work in patient care or clinical care areas to have an annual influenza vaccination or possess an approved medical or religious exception. Failure to meet this requirement may result in termination of employment.

The pre-employment physical for positions in clinical areas, laboratories, working with research subjects, or involving community contact requires documentation of immune status against Rubella (German measles), Rubeola (Measles), Mumps, Varicella (chickenpox), Hepatitis B and documentation of having received the Tdap (Tetanus, diphtheria, pertussis) vaccination. This may include documentation of having two (2) MMR vaccines; two (2) Varicella vaccines; or antibody status to these diseases from laboratory testing. Blood tests for immunities to these diseases are ordinarily included in the pre-employment physical exam except for those employees who provide results of blood tests or immunization documentation from their own health care providers. Any vaccinations required for these diseases will be given at no cost in our Occupational Health office.
