Sr. Administrative Coodinator

The Center for Indigenous Health (CIH) is located administratively within the Department of International Health at the Johns Hopkins Bloomberg School of Public Health. CIH has satellite offices located in the Southwest and Great Lakes regions of the Midwest where much of our community-engaged work is done. CIH employs over 250 staff and faculty. The core activities housed at CIH include research studies of behavioral/ mental health, infectious diseases, a graduate and doctoral training and scholarship program and wide array of public health service activities. Family Spirit Program Overview

Since 1995, CIH has worked with Tribal communities to develop, evaluate, and disseminate the Family Spirit Program. Family Spirit is an evidence-based and culturally tailored home-visiting intervention delivered by Native American paraprofessionals as an Indigenous solution to supporting Native parents from pregnancy through early childhood. The Family Spirit Core Curriculum consists of 63 lessons taught from pregnancy to age 3. Additional curriculum modules address emerging needs and specific family circumstances. The Family Spirit Program is currently being used at community sites around the United States, with training and technical assistance provided by the Family Spirit National Office. Family Spirit LEGO Project Overview

In December 2022 CIH was named a top international winner of the LEGO Foundation Build a World of Play Challenge, a global initiative to fund bold, innovative and impactful solutions focused on early childhood. CIH received a 5-year, $28M grant to work with global partners to expand Family Spirit to 20 new sites in Indigenous communities in the U.S., Canada, Australia, and New Zealand as well as create Indigenous-designed community play spaces in those locations. The Center for Indigenous Health (CIH) at Johns Hopkins Bloomberg School of Public Health is seeking a motivated Sr. Administrative Coordinator interested in supporting the mission of research, training and service. The Sr. Administrative Coordinator will work with the Family Spirit National Office and LEGO Project leadership team to assume primary day-to-day coordination responsibilities such management and dissemination of training materials, as calendar management, meeting/training scheduling and coordination, event coordination, travel planning, facilitating internal and external communication, purchasing and operational activities. Specific Duties & Responsibilities

(This description is a general statement of required duties and responsibilities performed on a regular and continuous basis. It does not exclude other duties as assigned.)

  • Provide high-level administrative support for the Center for Indigenous Health.
  • Coordinate distribution of supplies and materials for Family Spirit sites nationally and internationally.
  • Assist with travel planning and logistics for national and international travel for the Family Spirit team.
  • Assist with internal and external team meetings and communication, including scheduling meetings and maintaining meeting agendas and notes.
  • Assist with marketing activities and communication (maintaining website and social media accounts).
  • Special event planning and coordination.
  • Manage high-level projects including cost effective purchasing to ensure smooth operation and efficiency of multiple programs.
  • Compose and/or prepare documents for content, quality, and style, turning rough drafts into finished documents on behalf of the program management team.
  • Initial point of contact for external Family Spirit partners and affiliates.
  • Triages to appropriate faculty member, staff, etc. to oversee responses, compose responses, and see that all requests and purchase orders are closed in the appropriate timeframe.
  • Effectively resolves conflict to avoid escalation.
  • Maintain administrative policies and procedures to ensure the smooth and effective operation of the assigned programs. Train required personnel as needed to ensure compliance and adherence to JHU and CIH policies.
  • Uses various software applications (e.g., spreadsheets, databases) to format data/reports.
  • Coordinates multiple-day site visits from donors, Center stakeholders and visiting faculty.
  • Exercise leadership in highlighting Center news, announcements, resources and benefits as needed.
  • Coordination of program activities, team meetings, and social events including developing program agendas and producing publication materials.
  • Exercise independent judgment in prioritizing meeting schedules and preparing a timeline. Initiate, develop and prepare agendas.
  • Provide follow-up information regarding committee actions and decisions.
  • Maintains records via compilation of the minutes of the meeting, prepares SOPs and related materials.
  • Manage program filing and correspondence documentation.
  • Maintain confidentiality of documents and files.
  • Works on special projects and miscellaneous related duties as assigned.

Additional Knowledge, Skills & Abilities

  • Proficient with Microsoft Office, specifically Microsoft Word, Excel, and PowerPoint.
  • Ability to problem-solve creatively and analyze processes/systems.
  • Excellent communication skills and tactful interpersonal skills to work effectively in a team environment and with external contacts during faculty and staff searches.
  • Very strong organizational skills and ability to work on several tasks simultaneously and meet time sensitive deadlines.
  • Individual must be able to work independently, under minimal supervision with strong decision-making skills and good judgment.
  • Analytical and written/oral communication skills required (including the facilitation of discussions with senior leaders and stakeholders).


Minimum Qualifications
  • High School Diploma or graduation equivalent.
  • Five years progressively responsible administrative experience.
  • Additional education may substitute for required experience, to the extent permitted by the JHU equivalency formula.


Preferred Qualifications
  • Experience working with Indigenous or Tribal communities.
  • Demonstrated knowledge of business with working knowledge of supporting strategic planning and business processes.
