Sightline is seeking an Academic HR Workday Lead who will play a critical role in the university’s Workday Business Process Modernization program, Sightline, by serving as the primary liaison for academic HR data and business processes. This individual will be responsible for gathering, validating, and reconciling data from all of the university’s academic divisions, ensuring accuracy and completeness as the university transitions to Workday. They will collaborate with stakeholders across schools and units to define and standardize future-state business processes for all types of academic appointments, including undergraduate hourly workers, graduate student employees, unionized PhD students, postdoctoral researchers, and faculty at all ranks. The Academic HR Lead will work closely with HR, finance, payroll, IT, and faculty affairs teams to align system capabilities with institutional policies, ensuring a seamless and efficient transition that supports the unique needs of academic roles.
Specific Duties and Responsibilities
Data Sourcing and Validation
- Partner with academic divisions to identify and collect current HR data related to academic roles.
- Ensure accuracy, completeness, and consistency of academic appointment, compensation, and employment data across schools and unit.
- Work with institutional research, HR, the Provost Office, and faculty teams to reconcile discrepancies and prepare data for migration to Workday.
Future-State Process Development
- Map current academic HR processes and identify gaps or inefficiencies.
- Develop and recommend standardized business processes for academic appointments, reappointments, job changes, and terminations in Workday.
- Collaborate with academic HR leaders to ensure Workday configuration supports institutional policies and compliance requirements.
Stakeholder Engagement and Change Management
- Serve as a key point of contact between academic divisions and the Sightline a team.
- Gather input from faculty affairs, HR, and finance stakeholders to align system design with academic needs.
- Communicate process changes and system updates to many types of academic HR teams, providing training and guidance as needed.
Testing and System Readiness
- Support Workday testing efforts by validating academic HR data and creating test scenarios in the new system.
- Participate in all testing phases to ensure academic processes function as expected.
- Partner with Sightline’s Office of Change Management in developing documentation and job aids for end users.
Additional Information
- The work hours will primarily be regular day shift office hours. However, there may be times when employees are required to work off hours to respond to project inquiries, adhere to project deadlines and meet the overall needs of a 24/7 health system/university.
Minimum Qualifications
- Bachelor’s Degree in business administration, HR, finance, supply chain, information systems, computer science, or related field.
- Requires eight years of progressively responsible experience working in a functional area (finance, HR, payroll, supply chain, sponsored projects) or working in systems analysis. Requires four years of experience as an ERP system user, with the desired skills of scoping, requirements gathering/definition, documentation, testing, training, and support. Requires experience with varied interpersonal and technical skills, along with demonstrated skills in interacting with members from all organizational levels to diagnose problems, develop, and implement that could be process or technically oriented.
- Additional education may substitute for required experience and additional related experience may substitute for required education, to the extent permitted by the JHU equivalency formula.
