Academic Program Coordinator

The Johns Hopkins University Krieger School of Arts and Sciences (KSAS) is seeking a dynamic and outgoing Academic Program Coordinator within the Department of Near Eastern Studies, who will support this department of 8 faculty members and approximately 30 graduate students.


Specific Duties & Responsibilities

  • Manage the academic progress of graduate students throughout the program and provide administrative support to the faculty and the department.
  • Manage and maintain the content of the department’s website under the supervision of the Academic Program Administrator.
  • Track student progress and requirements.
  • Coordinate all student language, comprehensive, and graduate board exams.
  • Coordinate the graduate student admission process.
  • Provide students with information regarding admission criteria, program offerings, degree prerequisites and requirements, etc.
  • Prepare and send student communications regarding admission decisions.
  • Assist in the Appointment Letter process.
  • Maintain student database and shared drive files.
  • Compile and enter course offerings each semester.
  • Prepare course and room schedule.
  • Manage 25Live Room scheduling for department resources, including IT support.
  • Manage communications for department Events, including flyer creation and distribution.
  • Maintain and update the department website content.
  • Schedule and manage department lectures and other events.
  • Schedule department meetings.
  • Provide light administrative support to faculty and instructors for class instruction.
  • Manage department keys.
  • Liaise between the department and JHU IT support.
  • Maintain the department procurement card, including reconciliation and submission of expense reports.
  • Forward-facing representative for general department inquiries.
  • Coordinate mail and delivery services.


Special Knowledge, Skills, and Abilities

  • High level of external and internal customer service skills.
  • Proficient with MS Office (including Word, Excel, Outlook, OneDrive), email software, PDF, and online filing systems.
  • Experience in website content maintenance.
  • High aptitude for independent learning and investigation.


Minimum Qualifications
  • High School Diploma or graduation equivalent.
  • Three years administrative/academic related experience.
  • Additional education may substitute for required experience and additional related experience may substitute for required education beyond HS Diploma/Graduation Equivalent, to the extent permitted by the JHU equivalency formula.


Preferred Qualifications
  • Bachelor’s Degree.
  • Experience with academic program software (SIS, CLSS, Slate)
  • Experience with scheduling software (25Live, Outlook)
  • Experience with WordPress and Canva or other design software.
  • Previous experience in academia focused on student records/academic programming.

Starting Salary Range: $18.20 - $26.00 - $33.90 HRLY (Commensurate w/exp.)

Schedule: Monday - Friday, 8:30am - 5:00. 30 hours per week

The referenced base salary range represents the low and high end of Johns Hopkins University’s salary range for this position. Not all candidates will be eligible for the upper end of the salary range. Exact salary will ultimately depend on multiple factors, which may include the successful candidate's geographic location, skills, work experience, market conditions, education/training and other qualifications. Education and Experience Equivalency
Please refer to the job description above to see which forms of equivalency are permitted for this position. If permitted, equivalencies will follow these guidelines: JHU Equivalency Formula: 30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience. Additional related experience may substitute for required education on the same basis. For jobs where equivalency is permitted, up to two years of non-related college course work may be applied towards the total minimum education/experience required for the respective job.

The pre-employment physical for positions in clinical areas, laboratories, working with research subjects, or involving community contact requires documentation of immune status against Rubella (German measles), Rubeola (Measles), Mumps, Varicella (chickenpox), Hepatitis B and documentation of having received the Tdap (Tetanus, diphtheria, pertussis) vaccination. This may include documentation of having two (2) MMR vaccines; two (2) Varicella vaccines; or antibody status to these diseases from laboratory testing.
