Administrative Coordinator

 

General Summary:

This position will provide administrative and office management support to the Real Estate team in the Johns Hopkins Facilities and Real Estate (JHFRE) department, including back-up support to the Executive Assistant to the Chief Real Estate Officer and to other JHFRE administrative staff members, as needed. 

 

Essential Job Functions:

  • Provide administrative support to the Real Estate Asset Management, Leasing and Development team members.  Manage scheduling of calendars for the team members and assists with document preparation, filing and meeting support.  Specifically for meeting support, perform all logistics to include coordination of the conference/meeting room space, audiovisual/teleconferencing and arrange for any refreshments, breakfast and/or lunches when needed, and travel where necessary.
  • Assists the Executive Assistant with preparation for staff meetings by helping to organize information supplied by the team members for the agenda, sending pertinent notifications, as well as reminders, copying and distribution of materials, taking notes/minutes as needed, and following up on issues requiring further action.
  • Prepares and submits associated travel expenses in SAP.
  • Provides telephone support and fields calls for general inquiries and direct information. 
  • Supports special projects, data entry, and project documentation, as needed.
  • Teams with the Executive Assistant and Administrative Coordinators within the department, providing planning, problem solving, back up, and other related collaborative issues. 


Knowledge, Skills and Abilities:

  • Demonstrated Proficiency in use of Word, Access, Excel, Power Point and Outlook (knowledge of SAP a plus).
  • Strong ability to multi-task and prioritize responsibilities.
  • Strong oral and written communication skills.
  • Strong attention to detail.
  • Professional attitude and appearance, diplomacy and courtesy.
     

Education:

  • This position requires a High School Diploma or GED.

 

Experience:

  • A minimum of three years’ work experience.
  • Additional education may be substituted for experience to the extent permitted by the JHU equivalency formula.
  • Work experience in the facilities and/or real estate fields preferred. 

 

Scope of Responsibility:

  • Knowledge of policies, procedures, and practices necessary to conduct the normal function of the department.  This is a cross-functional support role.

 

Decision Making:

  • Independent judgment, self-starter, requires minimum-to-moderate supervision.

 

Authority:

  • Does not direct the activities of staff.

 

Communication:

  • Ability to interact with all levels of University personnel and external contacts.

 

Physical Requirements:

  • Must be able to remain in a stationary position for extended periods of time.
  • Ability to operate a computer and other equipment on a frequent basis.
  • Ability to frequently communicate with coworkers.
  • Ability to move about.

During the Influenza ("the flu") season, as a condition of employment, The Johns Hopkins Institutions require all employees who provide ongoing services to patients or work in patient care or clinical care areas to have an annual influenza vaccination or possess an approved medical or religious exception. Failure to meet this requirement may result in termination of employment.

 

The pre-employment physical for positions in clinical areas, laboratories, working with research subjects, or involving community contact requires documentation of immune status against Rubella (German measles), Rubeola (Measles), Mumps, Varicella (chickenpox), Hepatitis B and documentation of having received the Tdap (Tetanus, diphtheria, pertussis) vaccination. This may include documentation of having two (2) MMR vaccines; two (2) Varicella vaccines; or antibody status to these diseases from laboratory testing. Blood tests for immunities to these diseases are ordinarily included in the pre-employment physical exam except for those employees who provide results of blood tests or immunization documentation from their own health care providers. Any vaccinations required for these diseases will be given at no cost in our Occupational Health office.
