Administrative Coordinator

General summary/purpose:

 

This position will reside in the School of Medicine in the Department of Radiology to oversee administrative responsibility to a Professor in Radiology and approximately 16 full-time and 4 part-time faculty, employees, postdoctoral fellows and 3-4 students. This position will handle the administrative responsibilities for the approximately 5 faculty.  The incumbent will also be responsible for the specific duties listed below

Specific Duties/Responsibilities:

  • Dictation and typing of official lab correspondence for Section/ Lab Director.
  • Maintain the director’s academic appointment schedule and in his role of lab director includes coordinating meetings with lab members and financial analysts.
  • Assist lab director in written email and verbal communication with lab and section outside faculty and staff who academically collaborate and use lab and Section academic services.
  • Oversee departmental responsibilities including  communication between lab director and NIH T32 potential training candidates and internal grant award process overseen by director
  • Routinely monitor mail received and distribute to staff and faculty in JHOC 3.
  • Travel coordination and reimbursement for academic meetings.
  • Phone coverage for Lab Director’s line and triage calls to other lab members  for academic lab business as collaborators potential enquires about Lab research trial
  • Update the Director’s CME documentation, CV, 3 DEA and one Maryland medical license, and biosketch.
  • Assist new approved lab staff and visiting faculty and students
  • Maintain confidential files relating to staff and faculty budgets in proposed and funded grant budgets and for lab personnel internal performance as directed by lab director and his managers.
  • Help Maintain the ABS copier on research wing JHOC 3 which involves ordering of toner, monthly monitoring of copies  and service calls to ABS when problems arise.
  • Will be trained in the dictation and typing of grants and contract applications and progress reports as per lab/Section Director.
  • Other duties as assigned.

Minimum qualifications:

High School Diploma/GED required. Requires a minimum of three (3) years of experience in administrative function. Experience in word processing, professional preparation of Word documents, correspondence, and some experience with voice dictation with medical vocabulary or the ability to learn specialized medical scientific vocabulary associated with lab. Must also be experienced in Excel, Word and Outlook and Adobe Writer (for forms completion)

Excellent interpersonal skills, ability to multi-task, and maintain confidentiality in all aspects of patient and staff information. Some flexibility in availability of work hours is helpful for occasional grant and manuscript deadlines.

Additional education may substitute for required experience, to the extent permitted by the JHU equivalency formula.

JHU Equivalency Formula:  30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience.  Additional related experience may substitute for required education on the same basis.  For jobs where equivalency is permitted, up to two years of non-related college course work may be applied towards the total minimum education/experience required for the respective job.

Preferred qualifications:

Bachelor’s degree or higher degree preferred.

 

Role/Level/Range: ATO/03/OE

Starting Salary Range:   $16.91-$23.25

Employee Group: Full-Time

Schedule: Monday-Friday, 40 hrs/wk

During the Influenza ("the flu") season, as a condition of employment, The Johns Hopkins Institutions require all employees who provide ongoing services to patients or work in patient care or clinical care areas to have an annual influenza vaccination or possess an approved medical or religious exception. Failure to meet this requirement may result in termination of employment.

 

The pre-employment physical for positions in clinical areas, laboratories, working with research subjects, or involving community contact requires documentation of immune status against Rubella (German measles), Rubeola (Measles), Mumps, Varicella (chickenpox), Hepatitis B and documentation of having received the Tdap (Tetanus, diphtheria, pertussis) vaccination. This may include documentation of having two (2) MMR vaccines; two (2) Varicella vaccines; or antibody status to these diseases from laboratory testing. Blood tests for immunities to these diseases are ordinarily included in the pre-employment physical exam except for those employees who provide results of blood tests or immunization documentation from their own health care providers. Any vaccinations required for these diseases will be given at no cost in our Occupational Health office.
