General Summary/Purpose: Provide overall administrative support to research staff involved in a large long-term cohort study of HIV infection in homosexual and bisexual men. 


Specific duties & responsibilities: Schedule meetings and reserve rooms, prepare meeting agendas, set up food for meetings , attend meetings, take and distribute meeting notes/minutes; order supplies and food; make travel arrangements ; answer  telephones; participate in preparing grants, presentations, manuscripts, correspondence  and other reports; coordinate bulk mailings; maintain filing systems for documents and keys; coordinate and distribute monthly calendar of events; operate office equipment , coordinate equipment service and agreements; submit service requests for photocopier, printers and personal computers ; serve as petty cash custodian; coordinate and attend monthly Community Advisory Board meetings; assist in preparing for site visits; participate in organizing special events, and other duties as assigned.


Minimum qualifications:  

  • High School Diploma/GED. 
  • Two years related experience.
  • Additional education may substitute for required experience, to the extent permitted by the JHU equivalency formula.


* JHU Equivalency Formula: 30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience. For jobs where equivalency is permitted, up to two years of non-related college course work may be applied towards the total minimum education/experience required for the respective job. *


Preferred qualifications: Prior experience serving as a Petty Cash custodian at Johns Hopkins is highly desirable as well as experience working on research projects, preferably dealing with HIV/AIDS.  


Special knowledge, skills, and abilities:  Knowledge of SAP; Microsoft Office: Outlook, Access, Excel, Word, PowerPoint. Must be: a) sensitive to the nature of the work and the confidentiality of study participants, b) flexible and comfortable working with men who have sex with men, and in a diverse office environment, and c) a willing, positive worker, able to take direction. The successful candidate will be required to pass Protection of Human Research Subjects and HIPAA certification classes, if not already done. 


Technical qualifications or specialized certifications: Prior experience working on research studies that use Microsoft Access. 


Any specific physical requirements for the job: Position may involve traveling to attend semi-annual meetings.  Position will also involve attending semi-annual research forums held in the evening. 


Additional information:  Must be comfortable working with bisexual and homosexual men and people living with HIV, as well as working in a diverse office environment. Must adhere to HIPAA and Human Subjects requirements.

During the Influenza ("the flu") season, as a condition of employment, The Johns Hopkins Institutions require all employees who provide ongoing services to patients or work in patient care or clinical care areas to have an annual influenza vaccination or possess an approved medical or religious exception. Failure to meet this requirement may result in termination of employment.


The pre-employment physical for positions in clinical areas, laboratories, working with research subjects, or involving community contact requires documentation of immune status against Rubella (German measles), Rubeola (Measles), Mumps, Varicella (chickenpox), Hepatitis B and documentation of having received the Tdap (Tetanus, diphtheria, pertussis) vaccination. This may include documentation of having two (2) MMR vaccines; two (2) Varicella vaccines; or antibody status to these diseases from laboratory testing. Blood tests for immunities to these diseases are ordinarily included in the pre-employment physical exam except for those employees who provide results of blood tests or immunization documentation from their own health care providers. Any vaccinations required for these diseases will be given at no cost in our Occupational Health office.
