Assistant Director, Financial Aid Systems


General Description:

The Assistant Director for Financial Aid Systems is a member of the Student Financial Services team comprised of the Director, Deputy Director, Associate Directors, Senior Assistant Directors, Assistant Directors, Client Services, and a Software Engineer who work as a collaborative group responsible for awarding and delivery of institutional, federal, state, and private financial aid based on the policies and procedures to meet University wide goals. This position is primarily responsible for supporting the financial aid system at the Homewood Campus, as well as processing a portion of the total number of need-based financial aid applications received by the Office of Student Financial Services.


Primary Duties and Responsibilities:

Financial Aid Student System support: 

  • Manages daily import of data from external sites, such as COD, College Board, CPS, into PowerFAIDS. 
  • Reviews and revises database elements, such as selection sets, algorithms, PIT rules for file reading, packaging, and generating letters.
  • Carries out fact finding and problem analysis and recommends most appropriate procedures to resolve.
  •  Responsible for annual system set-up (Parameter Roll Forward) and testing of quarterly upgrades.
  • Assists in maintaining standards for functional users of the database to ensure integrity and consistency of data. 
  • Creates and maintains business process guides for functional users.
  • Assists with data integration between PowerFAIDS and other university systems, including OnBase, SLATE, the JHU Student Information System and Salesforce.
  • Maintains contact with central IT and works closely with the Senior Systems Analyst.
  • Reviews and manage requests for access to the financial aid information system.


Student support:

  • Evaluates aid applications for prospective and returning undergraduate student populations to determine aid eligibility using federal and institutional methodologies, exercising professional judgment when necessary.
  • Daily contact with students and families via phone, email and in-person.
  •  Assists with the development and implementation of financial aid policies and procedures. 
  • Assists with reconciliation of scheduled reports to ensure timely delivery of financial aid to students and compliance with Federal Title IV regulations. 
  • Frequent communication with campus administrative departments (Admissions, Registrar, Student Accounts, and Student Employment) and academic departments.
  • Additional assigned responsibilities for other programs as needed. 
  • Comprehensive knowledge of Federal verification and Return to Title IV.
  • Prepares and presents financial aid sessions/workshops to high schools and other organizations upon request. Occasional event and weekend work required.


The Assistant Director position has direct authority to make financial aid commitments to the student population on behalf of the University.



  • A Bachelor's Degree and one year related experience is required.
  • Additional education may substitute for required experience, to the extent permitted by the JHU equivalency formula.


JHU Equivalency Formula: 30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience. For jobs where equivalency is permitted, up to two years of non-related college course work may be applied towards the total minimum education/experience required for the respective job.


Special Skills and Knowledge:

The candidate who best fits this position will have exceptional written and oral communication skills, strong, student-based counseling proficiency, a good eye for detail, robust organizational skills, a comprehensive understanding of Federal Title IV regulations and Federal Title IV financial aid processing systems (COD, NSLDS, etc), a strong work ethic and advanced knowledge of Microsoft Office Suite of products. Experience with CSS PROFILE, IDOC, and PowerFAIDS (all modules, including Administration) required. Experience with OnBase, SLATE, Salesforce, and SQL preferred


Preferred Qualifications:

  • A Master's Degree and three years of relevant financial aid/Title IV experience is preferred.
  • Experience in a highly selective college or university setting that practices some form of institutional methodology is preferred.

Blood tests for immunities to these diseases are ordinarily included in the pre-employment physical exam except for those employees who provide results of blood tests or immunization documentation from their own health care providers. Any vaccinations required for these diseases will be given at no cost in our Occupational Health office.
