Assistant Director of Alumni Relations

 

General Summary:

 

The Assistant Director of Alumni Relations is responsible for the strategic management of the Hopkins Engineering Alumni Leadership Committee, an alumni volunteer board tasked with increasing alumni student engagement, alumni outreach, and development communication. In addition, the Assistant Director will lead the coordination and implementation of alumni engagement and volunteer leadership events and will assist with Homewood Schools, central alumni relations, department-specific, and Dean’s Office events. This position requires working outside normal business hours, attending development and alumni relations functions and events, occasional travel, and other responsibilities as assigned.

 

Specific responsibilities include:

  • Strategically plan, coordinate, and implement all activities for the Hopkins Engineering Alumni (HEA) Leadership Committee.
    • Develop strategy and manage all logistics for two in-person meetings annually, in consultation with the Associate Director of Constituent Engagement.
    • Coordinate and participate in monthly calls for each of the three sub-committees which includes creating the agenda, prepping the co-chairs, sending out any materials prior to each call, and sharing minutes afterwards.
    • Manage any programs and events created as a result of ideas from the members of the Leadership Committee, including the student mentoring program, student-alumni events, career center activities, information sessions on the Student Initiatives Fund, etc.
  • Oversee the HEA Alumni Ambassadors program, including the recruitment and engagement of alumni volunteers and biannual solicitations.
  • Successfully plan and execute alumni engagement, career development, and volunteer leadership events.
    • These events include:
      • Volunteer Leadership Dinners
      • Endowed Lectures
      • Regional Dean's Receptions
      • Career Networking Nights
    • Responsible for all event logistics, communication and promotion, and design of print pieces, in coordination with the Alumni Relations Coordinator.
    • Ensure all WSE DAR calendars are updated with event specifics, including staff Outlook calendars, WSE online calendar, Alumni Association calendar, JHU Hub calendar, GoHopOnline calendar, and the internal WSE event tracking calendar.
    • Draft, circulate, and finalize briefing materials for deans and/or other university leadership which includes timeline of events, speaking points, biographical information, etc.
    • Manage and track budget with expenditures in a timely manner.
    • Develop and implement a follow-up strategy to ensure all events are being used as engagement, cultivation, or stewardship tools.
  • Drive Hopkins Engineering Alumni communication efforts
    • In conjunction with the Whiting School Digital Media Manager, develop and send quarterly newsletters for general alumni.  
    • Collect content and updates for engineering.jhu.edu/alumni website, the GoHopOnline Whiting School page, or any other online platform, including news posts about events, videos, and alumni profiles.
    • Work with the Alumni Relations Coordinator to oversee process for alumni emails in coordination with central Business Services and the WSE Office of Communications.
  • Serve as the WSE representative for the Johns Hopkins Career Center and for the Students and Young Alumni Engagement Office.
    • Participate in regular meetings to share information on WSE programs and look for opportunities to collaborate.
    • Provide staffing support for any programs, such as Young Alumni Weekend and Career Academy Weeks.
  • Help with the planning and coordination of other WSE events.
    • Provide support for other school-wide and university-wide events by serving as a consultant or sitting on a committee.
    • These events include:
      • Dinners with the Dean
      • Engineer's Week Programming
      • Design Day
      • Business Plan Competition
      • WSE Commencement events
      • Stewardship Events
  • Lead the efforts to identify candidates and complete the Whiting School’s Alumni Association Alumni Council nominations, Alumni Trustee nominations, and Alumni Awards nominations.
  • Perform other development and alumni relations related duties, as assigned.

 

Qualifications

Bachelor’s degree and a minimum of 2-3 years in events, volunteer management, fundraising or related field, preferably in an institution of higher education. Excellent communication skills and attention to detail; ability to manage multiple projects simultaneously and effectively; ability to make independent decisions, and the discernment to know when independence is warranted; ability to work as part of an effective team with a results oriented approach. Excellent computer skills and ability to learn new development computer software systems. May include hours outside of normal working hours and on the weekend. Ability and willingness to travel.
