Assistant Director of Communications

Assistant Director of Communications, SoM Alumni Relations and Fund for Johns Hopkins Medicine Events


Summary of Responsibilities:


The SoM Alumni Relations and FJHM Engagement (events, stewardship, and donor relations) team works collaboratively with colleagues across medicine and the institution to build stronger donor engagement, stewardship, and alumni relations allowing staff to focus on cultivation, fundraising, and ensuring donors and alumni remain connected to Johns Hopkins and each other.  This team also supports critical fundraising initiatives and campaigns. 


The Assistant Director is responsible for external and internal communications for the school of medicine alumni relations team and FJHM engagement teams including events, stewardship, and donor relations.  This position will also support communications for the School of Medicine Scholarship Initaitive, its annual reunion and alumni weekend; and select events managed by the FJHM events team including the Dean’s Symposia. The role’s primary responsibilities include creating and executing communications plans through digital and print mechanisms and writing pieces integral to generating alumni and donor support. Additionally, this role plays a part in facilitating the internal communications working group throughout the Fund for Johns Hopkins Medicine and takes on other responsibilities as needed in support of the Fund’s strategic priorities. The key audiences for this position are donors, staff, alumni, students, and future donors so as to best support the goals and priorities, and to meet the needs of Johns Hopkins Medicine, the Johns Hopkins School of Medicine, and the Fund. 


Primary Duties and Responsibilities


Create and oversee communications plans for alumni relations programs and FJHM stewardship, donor relations and events (as needed), based on a solid understanding of the purpose, goals, call to action for prospects or donors, and plans for programs and events. This could include writing content, designing collateral and creating copy for print, digital and social media distribution.


Support the School of Medicine Scholarship initiative by partnering with the School of Medicine Development team to create marketing materials for the initiative, proposals to donors, success stories for social media and other publications.


Create and manage all aspects of a communications plan for SoM Reunion and Alumni Weekend, in partnership with the Associate Director of Reunions and Engagement and the JHM Dean’s Symposia in partnership with the Assistant Director of FJHM Events.  

Advise, create, and/or oversee communications strategies and collateral for SoM alumni relations operations, programs, or events, in collaboration with colleagues. Proactively identify communications needs and recommend detailed strategies to meet those needs. 


Advise or create written pieces or donor impact reports and collateral for FJHM stewardship and donor relations.  Create communications plans for large stewardship initiatives or programs. 


Brainstorm, create and design effective and attractive communications pieces to engage donors, prospects, alumni, and friends. Serve as graphic designer and/or oversee freelance designers and graphic design intern for print-based projects to include invitations, flyers, posters, postcards, resource materials and other special projects as needed/requested.


Clean and maintain data to ensure effective communications.


Collaborate with staff in Advancement Services, JHM Marketing & Communications, JHU Communications, DAR Communications and other offices. Serve as a representative and/or liaison when appropriate.


Oversee social media accounts and manage a social media intern in partnership with the Senior Associate Director of Alumni Relations to improve engagement and grow audience.


Gather and analyze metrics as related to communications vehicles to assess best tools for communications. Identify needs and implement changes to increase effectiveness to meet and exceed goals.


Manage the Fund for Johns Hopkins Medicine’s presence in Hopkins Medicine Magazine (published three times per year) as well as other Hopkins publications both in print and on-line. This includes:

    • Content development, creating production timelines, writing, circulating copy through multiple approvers, editing and proofing
    • Working closely with staff, editors and writers to appropriately publicize fundraising priorities, donor, alumni and student activities and events
    • Contract and manage outside writers as needed
    • Conduct and/or coordinate interviews with alumni, students, donors and others featured in content
    • Coordinate, edit and proof content provided for class notes and obituary sections


Directly manage the team’s content, aesthetic and online presence. This includes:

  • website design and content (SiteExecutive, Cvent,)
  • social and professional networking (Facebook, Instagram, GoHop Online)
  • division portals (SharePoint)
  • email marketing and messaging (MailChimp, Cvent)
  • Google apps and photos


Other Responsibilities include:

    • Use of interactive web features including Google apps and Zoom
    • Knowledge and use of email marketing systems, such as MailChimp
    • Improvement of performance goals related to participation, readership, open rates and click-throughs.
    • Partnering with vendors and mail houses to distribute communications collateral
    • Use of registration software, such as Cvent including awareness of all capabilities, design, and making recommendations for best usage 
    • Assistance with coordinating registration, logistics and on-site execution of FJHM events (as needed).
    • Collaborating with other communicators within FJHM to create best practices and exchange ideas of emerging trends. 




  • Bachelor's degree in related field required. Advanced degree may substitute for required experience, to the extent permitted by the JHU equivalency formula. Two years related experience required. Additional experience preferred in graduate school higher education, marketing, writing, communications, fundraising, or alumni relations. Strong attention to detail, critical thinking skills, organizational skills, initiative
  • Performs well under pressure and within time constraints with a high degree of accuracy and diplomacy.
  • Ability to create communications collateral that is relevant and attractive to designated audiences. 
  • Ability to develop measurements to analyze efficiency and success of communications deliverables and implement effective, strategic improvements where needed.
  • Proficiency with content management systems, email marketing tools, Google apps, Zoom, and Adobe products (Illustrator, InDesign, Photoshop)
  • Possesses excellent word-processing and database management skills; significant experience with a thorough working knowledge of Word, Excel, PowerPoint, web-based software, and the ability to learn new software.
  • Possess first-rate and proven writing, oral communication, and proofing abilities, the ability to mockup and communicate design concepts, work with others in a consultative capacity,
  • Ability to work independently and as part of a team.
  • Willingness and ability to travel occasionally and to work evenings and weekends as needed. 
  • Must be able to lift up to 50 lbs for short distances
  • Ability to sit for eight (8) hours straight and to stand for various time lengths.

During the Influenza ("the flu") season, as a condition of employment, The Johns Hopkins Institutions require all employees who provide ongoing services to patients or work in patient care or clinical care areas to have an annual influenza vaccination or possess an approved medical or religious exception. This may include documentation of having two (2) MMR vaccines; two (2) Varicella vaccines; or antibody status to these diseases from laboratory testing. Blood tests for immunities to these diseases are ordinarily included in the pre-employment physical exam except for those employees who provide results of blood tests or immunization documentation from their own health care providers. Any vaccinations required for these diseases will be given at no cost in our Occupational Health office.
