General Description


The Associate Director of Alumni Relations, Lifelong Learning will support the programming efforts of the Lifelong Learning team, with a focus on faculty connections and the Hopkins at Home program. As the primary program administrator for Hopkins at Home, this role is responsible for the multifaceted scheduling and logistics that keep this program running. In addition to Hopkins at Home, this role will help to identify instructional opportunities for faculty or other experts across all lifelong learning programs including Odyssey, Open Doors, and industry focused programs.


The Associate Director reports to the Senior Associate Director of Lifelong Learning and serves as an integral part of the Office of Alumni Relations (OAR) team. This position represents the university at various functions to a constituency that includes alumni, students, parents, prospective students, and friends of the university and has frequent and substantive interactions with faculty and leadership; therefore, must be able to present themselves with professionalism and exercise good judgment, diplomacy, and discretion with diverse populations and situations. The ideal candidate will have enthusiasm for innovative problem solving and the ability to take initiative while embracing the opportunities for collaboration. Regular evening and occasional weekend work required. The activities of lifelong learning (e.g. Hopkins at Home, Odyssey, alumni industry networks, Alumni Authors Bookshelf, and Alumni Book club) support the priorities, goals, and recommendations outlined in the 2020-2025 Alumni Engagement Strategic Plan. 


The Lifelong Learning Portfolio


Hopkins at Home brings Hopkins experts and influential community leaders into the homes of our alumni, friends, and community members via one-time live-streamed lectures and academic mini-courses. These programs are free and open to the public, with target marketing toward the alumni association. Established in 2020, this program engages with faculty from across Johns Hopkins and opens the door to inspiring, academic conversation across disciplines.

Odyssey programs consist of non-credit, academic courses for personal enrichment. These multi-session classes are taught by Hopkins faculty, alumni, staff, or community experts. These programs are tuition funded, and open to the public with discounted tuition for alumni, staff, faculty, and retirees.

Open Doors is a short-form, video-based piece that features Hopkins faculty teaching or providing the audience with insight they might not otherwise see. These pre-recorded pieces are designed for social media and are no more than 5 minutes in length.

Alumni Industry Networks bring alumni from across the divisions together around their professional interests. Programming consists of a mix of virtual offerings and in-person gatherings in our key regional cities across the United States. Network examples include Arts, Entertainment & Media, Healthcare, Law, etc.

Alumni Authors Bookshelf and Alumni Book Club – The Alumni Authors Bookshelf is an online catalog highlighting books written by our alumni. The Alumni Book Club is managed through a third-party vendor and offers online discussions for our alumni around selected readings.


Specific Responsibilities


Program Management

  • Recruit and coordinate presenters - which may include university leadership, faculty, non-Hopkins experts, staff, or contractors - to determine which program platform is the best fit for their expertise, topic, and delivery style and prepare them for their participation in that program.
  • Identify and liaise with potential producing partners across the university, identifying opportunities for Hopkins at Home to provide technical livestreaming support for already existing events as well as working with new partners to develop co-branded events
  • Serve as production manager for live sessions by acclimating presenters to the technology, leading rehearsal, coordinating with technical production staff, and managing the audience Q&A during the event.
  • Manage program registration which includes monitoring and maintaining waitlists for sold out events, extending registration opportunities as the program allows, and sending reminders or post-program correspondence as appropriate.
  • Recruit, train, and coordinate volunteers who support various aspects of the program.
  • Serve as the Office of Alumni Relations’ liaison to university committees as assigned; this might include serving on task forces, search committees, attending regular meetings, and collaborating on programs and co-sponsorships as appropriate.
  • Represent Johns Hopkins University through frequent and varied interaction with key alumni leaders, university leadership, donors, faculty, and colleagues across the institution.
  • Oversee the post-production process, managing the work of a Media Generalist - setting key deadlines for deliverables, providing feedback for edited video content, and coordinating overall workflow for multiple projects simultaneously
  • Other duties as needed.


Communications and Marketing

  • Oversee social media channel(s) for lifelong learning programs, focused on Hopkins at Home. In partnership with OAR communications and marketing, develop and execute a social media strategy to increase engagement and promote programs.
  • In partnership with OAR communications and marketing, maintain the lifelong learning websites to promote upcoming programs and share recordings of past programs.
  • In partnership with OAR communications and marketing, execute email marketing strategy that includes email communication to external constituents and collaboration with OAR marketing and communication to create and distribute weekly marketing emails.
  • Create the event and registration webpages; maintain content on the program websites as needed.
  • Coordinate the monitoring of program inbox(es).


Reporting

  • Report on data related to registration, attendance, giving, and course feedback – monthly and quarterly.
  • Maintain participant lists and code presenters and volunteers appropriately in DAR CRM.
  • Review and report on participant and faculty survey data.
  • Supervisory Responsibilities
  • This position will have one FTE director report, Media Generalist
  • Student employees as needed


Skills

  • Proficient in basic HTML code, experience with WordPress and/or Drupal a plus
  • Experience with video player services such as IBM, Vimeo, YouTube
  • Proficient in graphic design to include designing banners for website, social media, and email marketing
  • Skilled with the virtual conferencing platforms, especially Zoom, with the ability to troubleshoot
  • Experience with Office365
  • Experience with an events system both front-facing and back-end editing and formatting




Minimum Qualifications
  • Bachelor's degree
  • Three years related experience

  • Work independently and function effectively in a fast-paced environment, often within strict time constraints;
  • Both manage and speak at events in a calm and professional manner;
  • Communicate articulately and with diplomacy to diverse groups including University leadership, faculty, staff, alumni, major supporters of the university, and the general public;
  • Oversee the set-up of virtual and in-person events including the management of vendors (when appropriate) and troubleshooting of barriers to success;
  • Collaborate on marketing and promotional pieces to include writing and design of web pages and event invitations;
  • Have an openness and aptitude to learn new software and database programs;
  • Possess the ability to develop creative solutions and bring people along;
  • Have an enthusiasm for teamwork
