General Description


The Events Team works collaboratively with colleagues across medicine and the institution to build stronger donor relations and alumni relations allowing staff to focus on cultivation, fundraising, and ensuring donors and alumni remain connected to Johns Hopkins.  We operate as a central service to the Fund for Johns Hopkins Medicine (FJHM) in regard to donor/alumni relations, events, building recognition, building tours, and other needs as warranted.


The Associate Director of Development Events is responsible for the conceptualization, planning and implementation of a comprehensive plan of events and projects that strategically engage and provide benefits to Johns Hopkins Medicine, the School of Medicine alumni, current students and donors. These efforts will be aligned with the goals, priorities and needs of the institution, the school and the development and alumni relations division. 



Specific Responsibilities


Management of the Events Team


  • Supervise and evaluate performance of two Sr. Coordinator and Events Coordinator


  • Creates strategies and delegates work to support the planning and execution of events


  • Supports professional growth by identifying opportunities for training and development


  • Plans and executes team meetings and team building


FJHM Events Management


  • Manage aspects of on-campus and off-campus Dean’s priority and development events for FJHM in order to promote the positive image of Johns Hopkins Medicine to unaffiliated and grateful patient donors and prospects.  Develop detailed plans, coordinate logistics, develop protocols for event planning, maintain reference resources, and collaborate with other development offices. 


  • Creates standards for FJHM Event planning, regularly evaluates the quality of event planning, and implements Fund-wide event planning protocols and procedures


  • Oversees the entire life-cycle of events of 45+ events yearly and manages teams in planning and execution of such events


  • Budget Development and Financial analysis, directs budget reconciliation


  • Evaluates and negotiates contracts


  • Serves as initial point of contact for departmental planning needs


  • Creates event project plans and ensures execution accordingly; resolves barriers as needed


  • Assists the Sr. Director with large scale events


  • Through strong and efficient management of logistics, communications, and production, serve as primary project manager for the annual Gulf Coast Dean’s Symposium and the Palm Beach Dean’s Symposium. Partner with and delegate responsibilities to the Sr. Coordinator and Coordinator for successful execution.


  • Reviews/submits speaking points and briefings in relation to FJHM events for the President and Provost of the University, Dean/CEO of Johns Hopkins Medicine, President of the Johns Hopkins Hospital and Health System, Department Directors, and senior leadership of DAR and FJHM.


  • Continuously evaluates opportunities to support departments in event planning and assists with conceptualizing new events for departments


  • Develops and maintains new and existing relationship with departments to promote services


  • Manage media coverage and press releases as applicable for events


  • In partnership with Associate Director for Reunion planning, supports the planning and logistics needs of School of Medicine Reunion weekend


General Skills


  • Supervises the events team and volunteers at events


  • Ability to multi-task, manage multiple projects, and attention to detail is critical.


  • Utilizes computers for word processing, mail merging, maintaining lists, updating database records, and producing varied reports. 


  • Works a flexible schedule to accommodate and staff events. May require early mornings, nights, and weekends. Some travel may be required.


  • Answers the main telephone line for the Events Team department as needed.


  • Performs other duties including, but not limited to, photocopying, mailing, and training as necessary.


  • Make follow-up phone calls as needed before each event.


  • Assist with the planning and implementation, including staffing of, major office, school or institutional projects/programs/events, as needed/requested.





Bachelor’s degree and minimum three years of related experience required. Additional experience in alumni relations, event production and management, graduate school higher education, fundraising, volunteer management or donor relations preferred.


The successful candidate will possess the ability to develop measurements to analyze efficiency and success of programs, and implement effective, strategic improvements where needed.  She or he will demonstrate critical thinking skills; s/he will have great attention to detail, organizational skills, initiative, first-rate writing, oral communication, and proofing abilities, the ability to set priorities for themselves and others effectively, work on multiple projects simultaneously, and to solve problems and work both independently and within teams.  Proficiency in Microsoft Office products, especially Word and Excel, are required.  Must have an openness to learn new software and database programs, and a willingness and ability to travel occasionally and be available to work evenings and weekends as needed.


It is imperative that all team members present themselves with professionalism and exercise good judgment, diplomacy, and discretion with diverse populations and situations.
