Asst. Director of Recruitment & Communications

 

General Summary/Purpose:

This position serves as the primary representative of the Admissions Office to attend and/or present admission details at recruitment events, online and onsite open house programs, conferences, and other events. This position also utilizes the Johns Hopkins University graduate application software and records information in the admissions database, Slate and SIS, while interacting with prospective and current students throughout year as well as staff, faculty, and senior management. Provide data reports on schedule and ad hoc requests. Point contact for Visiting Graduate Students/Scholars, Explore Hopkins program and campus visits.

 

Specific Duties & Responsibilities:

30% Recruitment

  • Primary role is to represent the Admissions Office by attending and presenting admission details at recruitment events as well as online and onsite open house or information sessions. This may include periodic evening hours and overnight travel and will also provide prospective contacts to Graduate Admissions Director and Program Directors, as requested. Comprehend the admissions and registration processes for all KSAS programs and interact with prospective applicants via recruitment fairs, office appointments/walk-ins, by phone and email.
  • Serve as the primary strategist for all email related activity including issue resolution, product updates and business process updates.
  • Manage the email campaign rules and distribution to ensure proper execution.
  • Assist office in the process of application completion by resolving incomplete supporting document issues.
  • Coordinator the Explore Hopkins Program at the direction of the Assistant Dean of Diversity and Inclusion.
  • Serve as the primary point person for campus visits.
  • Register conference attendance and triage shipping of materials as needed.

 

40% Communications

  • Monitor and update content for the Graduate Admissions and Enrollment Office website and department websites in collaboration with academic department coordinators and administrators.
  • Compose letters, miscellaneous emails, update prospective campaigns and other types of communications as need for internal offices and external audiences.
  • Assist in the creation of letters and/or emails for recruitment and of admission and denial templates for departmental use.
  • Assist academic coordinators with specific communication needs related to recruitment and the application process.
  • Create and distribute dashboards for various reports to share with both internal and external departments.

 

25% Strategic Planning

  • Contribute to special events coordination when necessary, including marketing and participation.
  • Coordinate and/or host events. The Assistant Director will independently set-up events in the CRM and on the website, launch mass e-mail invitations, follow-up with event inquiries, respond to RSVPs, and notify program directors of RSVPs.
  • Works with the Director to organize the business functions, services and management of all phases of the future Customer Relationship Management (CRM) System.
  • Develop training for functional users of the CRM and provide support for end-users.
  • Assist with the development and deployment annual application for admission.
  • Oversee and determine best practices in CRM systems.
  • Identify areas for innovative processes and solutions to support the office’s goals by maximizing use of existing technologies.

 

5% Other Duties as Assigned

 

Minimum Qualifications (Mandatory):

  • Bachelor's degree required preferably in communications or related field, and 2 years of relevant experience required.
  • Additional education may substitute for required experience and additional related experience may substitute for required education, to the extent permitted by the JHU equivalency formula.

 

JHU Equivalency Formula:  30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience.  Additional related experience may substitute for required education on the same basis.  For jobs where equivalency is permitted, up to two years of non-related college course work may be applied towards the total minimum education/experience required for the respective job.

 

 

Preferred Qualifications:

  • 3 years of graduate education recruitment experience preferred.
  • Prior experience with a student information system and/or Slate strongly preferred.

 

Special Knowledge, Skills, and Abilities:

  • Ability to travel to recruitment events and professionally represent the University with knowledge and energy.
  • Ability to maintain periodic evening hours for open house/recruitment events and late registration.
  • Ability to independently and reliably counsel prospective students to provide smooth transitions from inquiry to enrollment.
  • Ability to communicate effectively with diverse populations verbally and in writing.
  • Ability to enter data accurately in secured database systems.
  • Ability to utilize Microsoft Office Suite – Powerpoint, Outlook, Excel, Publisher, and Word.
  • Ability to follow instructions, prioritizing tasks in a fast-paced professional environment.
  • General knowledge of procedures in enrollment services preferred.
  • Strong presentation skills.
  • Ability to work independently as well as the ability to develop and maintain effective working relationships.
  • Excellent client service, and communication skills.
  • Must be able to multitask in fast-paced office environment.
  • Ability to comprehend the admissions and registration processes for all KSAS programs.
  • Ability to interact with sensitivity to students, faculty, staff and senior management.
  • Ability to establish effective work relationships both within and outside of the enrollment team.
  • Ability to develop a detailed understanding of complex divisional, department, and university policies and procedures.
  • Ability to uphold University policies and procedures, especially with regard to student privacy and confidentiality in compliance with FERPA laws
  • Ability to retrieve information from two complex database systems.
  • Ability to have a comprehensive understanding of service organizations in the university in order to refer students to appropriate individuals and/or systems such as financial aid and student accounts.
  • Ability to be flexible throughout the academic year and handle additional duties as assigned.

During the Influenza ("the flu") season, as a condition of employment, The Johns Hopkins Institutions require all employees who provide ongoing services to patients or work in patient care or clinical care areas to have an annual influenza vaccination or possess an approved medical or religious exception. Failure to meet this requirement may result in termination of employment.

 

The pre-employment physical for positions in clinical areas, laboratories, working with research subjects, or involving community contact requires documentation of immune status against Rubella (German measles), Rubeola (Measles), Mumps, Varicella (chickenpox), Hepatitis B and documentation of having received the Tdap (Tetanus, diphtheria, pertussis) vaccination. This may include documentation of having two (2) MMR vaccines; two (2) Varicella vaccines; or antibody status to these diseases from laboratory testing. Blood tests for immunities to these diseases are ordinarily included in the pre-employment physical exam except for those employees who provide results of blood tests or immunization documentation from their own health care providers. Any vaccinations required for these diseases will be given at no cost in our Occupational Health office.
