Budget Analyst

We are seeking a Budget Analyst who will work with faculty members, administrative staff, and students in the Departments of Philosophy and History of Science and Technology, and the MSH and WGS programs, providing a variety of financial and accounting activities including, reporting, oversight, and processing of daily reimbursements, payments, and procurement.


Specific Duties & Responsibilities

  • Interpret and apply University and KSAS policies and compliance requirements around purchasing, reconciliation, vendor payments, and reimbursements.
  • Understand and correctly use the various payment mechanisms used by the University (procurement card, check requests, purchase orders, corporate travel cards, etc.).
  • Ensure all costs are allowable, allocable, reasonable, and justifiable.
  • Provide instruction to faculty, staff, and students regarding financial policies and procedures.
  • Identify budget issues, provide alternative solutions, and resolve issues.
  • Track, audit, reconcile, and upload to OneDrive all budgets on a monthly basis.
  • Submit financial updates and communicate fiscal concerns monthly to the administrative manager, program directors, and/or department chair as appropriate.
  • Monitor spending and provide up to date expenditure and balance information.
  • Prepare for budget meetings and make recommendations, when requested, for future budgets.
  • Oversee Faculty Budgets.
  • Manage the PaymentWorks vendor system and process for vendors.
  • Process honoraria and reimbursement payments to guest speakers and visitors.
  • Initiate work orders for facilities when needed.
  • Review, complete, and submit Independent Contractor Forms.
  • Process all check and cash deposits.
  • Complete purchases, allocate and/or approve Pcard purchases.
  • Process invoices, purchase orders, journal transfers, and travel reimbursements.
  • Procure, maintain, and organize inventory of office supplies and necessities.
  • Maintain and/or approve departmental travel card.
  • Other duties as assigned.

  • Strong organizational skills, time management, attention to details, and interpersonal and communication skills.
  • Ability to maintain confidentiality and work independently.
  • Proficient in Microsoft Office (Outlook, Excel, Word).
  • Willingness to learn and share knowledge.


Minimum Qualifications
  • Bachelor's Degree in Finance, Accounting, Business or related field.
  • One year of related progressively responsible experience.
  • Additional education may substitute for required experience and additional related experience may substitute for required education, to the extent permitted by the JHU equivalency formula.

Preferred Qualifications
  • Bachelor’s Degree.
  • Experience with JHU’s financial system (SAP).

The pre-employment physical for positions in clinical areas, laboratories, working with research subjects, or involving community contact requires documentation of immune status against Rubella (German measles), Rubeola (Measles), Mumps, Varicella (chickenpox), Hepatitis B and documentation of having received the Tdap (Tetanus, diphtheria, pertussis) vaccination. This may include documentation of having two (2) MMR vaccines; two (2) Varicella vaccines; or antibody status to these diseases from laboratory testing.
