General Summary:

The Budget Specialist is responsible for monitoring all Homewood undergraduate scholarship gifts and endowments, processing daily transactions (e.g. online check requests, non payroll cost transfers, etc.), and monitoring and reconciling non-personnel and gift accounts. The position reports to the Associate Director of Financial Operations.

Essential Job Functions:

  • Monitor all Homewood scholarship funding by reconciling gifts, monitoring pledge and gift levels, ensuring proper use of funds by other divisional development offices and financial aid, processing endowment requests for the Treasurer’s Office when appropriate endowment levels/criteria have been reached, and requesting master data as needed.
  • Process daily transactions related to operations of the H.S.A. Business Office and the Homewood Student Accounts Office (e.g. online check requests, non-payroll cost transfers, travel and expense reimbursements, petty cash transactions, shopping carts, Pcard transactions).
  • Serve as subject matter expert on the SAP Purchasing module and University financial and purchasing policies.
  • Monitor and reconcile Business Office non personnel budget and various non-scholarship gift accounts using BW reporting and SAP transaction system.  Review account reconciliations submitted by departments in the Homewood Student Affairs division.  Train departmental staff on the account reconciliation process as needed.
  • Initiate SAP cash journals and related bank deposits for divisional offices that cannot otherwise create their own journals/deposits.
  • Assist in creation of annual budget worksheets.
  • Attend monthly Homewood Administrators meetings.
  • Other duties as assigned.


  • Required: High School Diploma
  • Preferred: Bachelors Degree preferred


  • Three years related experience required, preferably in financial management, accounting procedures, and customer service. 
  • Experience in a university setting highly desirable. 
  • Experience with SAP preferred. 
  • Experience working with diverse clients and constituents highly preferred.  

Special Knowledge, Skills, or Abilities:

  • Skilled in managing budgets and spreadsheets

During the Influenza ("the flu") season, as a condition of employment, The Johns Hopkins Institutions require all employees who provide ongoing services to patients or work in patient care or clinical care areas to have an annual influenza vaccination or possess an approved medical or religious exception. Failure to meet this requirement may result in termination of employment.

The pre-employment physical for positions in clinical areas, laboratories, working with research subjects, or involving community contact requires documentation of immune status against Rubella (German measles), Rubeola (Measles), Mumps, Varicella (chickenpox), Hepatitis B and documentation of having received the Tdap (Tetanus, diphtheria, pertussis) vaccination. This may include documentation of having two (2) MMR vaccines; two (2) Varicella vaccines; or antibody status to these diseases from laboratory testing. Blood tests for immunities to these diseases are ordinarily included in the pre-employment physical exam except for those employees who provide results of blood tests or immunization documentation from their own health care providers. Any vaccinations required for these diseases will be given at no cost in our Occupational Health office.
