Budget Specialist

The Ophthalmology Department is seeking a Budget Specialist  who will report to the Financial Manager. This role ensures timely and accurate coding and processing of SAP invoices, CONCUR travel reimbursements, P cards. Tracks Retina Drug purchasing orders, creates good receipts and ensures that staff and faculty receive goods that they have ordered. Retains packing slips and other required documentation for reconciliation purposes for SAP shopping carts. Interacts with Wilmer Optical staff, JHU shared services (Accounts Payable, Treasury office, Telecom, Purchasing, PaymentWorks), Optical Vendors, insurance company JHHS EHP. Processes Optical Frame inventory into Office Mate to include frame adjustments, frame transfers and frame pricing. Coordinates compliance of Optical Contact lens and Optical Frame warranty returns for 8 Optical stores located in the state of Maryland.

 

Specific Duties & Responsibilities:

  • Process shopping carts in SAP, track purchasing orders, create good receipts and ensure that staff and faculty receive goods that they have ordered. Retain packing slips and other required documentation for reconciliation purposes
  • Accounts Payable - timely and accurate coding and processing of SAP invoices, employee and non-employee travel reimbursements, shopping carts, procurement card submission, vendor set up in “PaymentWorks” and routine journal entries
  • Accounts Receivable for Wilmer Optical stores - Maintain an accurate Accounts Receivable report – patient aging reports. Conduct account research using Office Mate software, Oculus, SAP
  • Billing Hopkins insurance EHP for Wilmer Optical claims
  • Frame inventory into Off ice Mate to include frame adjustments, frame transfers and frame pricing. Contact lens and Optical Frame warranty returns
  • Interact with JHU shared services departments and Optical Vendors, EHP
  • On a monthly cycle, perform reconciliations of financial transactions for Wilmer Optical and non-sponsored funds (i.e., general funds, discretionary and gift) accounts
  • Assist with special projects and other duties as assigned

 

Minimum Qualifications (Mandatory):

  • High School Diploma
  • Three years of related administrative and/ or budget experience

 

Special Knowledge, Skills & Abilities:

  • SAP
  • Office Mate
  • Use Microsoft Word for correspondence and Excel for spreadsheets
  • OCULUS

Starting Salary Range: $17.42 - $23.95/hr (commensurate with experience)

The pre-employment physical for positions in clinical areas, laboratories, working with research subjects, or involving community contact requires documentation of immune status against Rubella (German measles), Rubeola (Measles), Mumps, Varicella (chickenpox), Hepatitis B and documentation of having received the Tdap (Tetanus, diphtheria, pertussis) vaccination. This may include documentation of having two (2) MMR vaccines; two (2) Varicella vaccines; or antibody status to these diseases from laboratory testing. Blood tests for immunities to these diseases are ordinarily included in the pre-employment physical exam except for those employees who provide results of blood tests or immunization documentation from their own health care providers. Any vaccinations required for these diseases will be given at no cost in our Occupational Health office.
