This position will be responsible for working on IT projects within the division of Gastroenterology. Coordinate the activities of the division’s IT projects, throughout the project life-cycle requirements, striving for project stability and on-time deliverables while achieving quality standards. Oversee small to mid-size projects, applying appropriate methodology and techniques to manage projects in keeping with standards set by the institution. Facilitate technical requirements gathering. Work closely with stakeholders to refine scope and deliverables.

 

This position will work with key stakeholders to ensure new clinical software is shepherded through IT committees and deployed in clinical setting. Identify required tasks and pinpoint key milestones. Identify plan obstacles and risks and develop and propose solutions/plan revisions to overcome obstacles. Implement modifications as necessary to meet changing needs and requirements. Act as project liaison to external vendors. Serve as primary point of contact to internal teams, collaborating on cross-team staffs.

 

Perform PC, peripheral equipment, and software installation and management for the Division of Gastroenterology & Hepatology.  Support all devices across multiple sites to ensure fleet of computers are in warranty, have appropriate clinical applications and are upgraded with latest clinical applications. Provide hands on technical assistance and effectively troubleshoot problems based on learned knowledge. Assist Faculty, Staff and Fellows who are experiencing procedural or operational difficulty with the use of technology applications, products, and services. Investigate and resolve computer software and hardware problems. This includes assistance via telephone and email. Will assist and/or setup conference room and research lab computing needs.

 

Specific Duties and Responsibilities:

 

  1. Act as project manager for roll out of new clinical software    - 50%
    1. Work with GI Clinical Operations Manager to provide required information in OJHP process to obtain approval of new clinical programs
    2. Work with IT Committees to obtain approval of new clinical software
    3. Work with IT Committees to develop process to ensure 3rd party applications record clinical providers taking and storing images
    4. Work with IT Committees to develop an effective retention process of images that is in compliance with the Medical Records Office and IT
    5. Work with EPIC team to assist in development of clinical interfaces when appropriate
    6. Create IT process workflows
    7. Work with Divisional Finance to create Purchase Orders for clinical equipment and software
    8. Oversee and manage installation of new clinical equipment and software
    9. Maintains relationships and works with key vendors
  2. EPIC Super user and EPIC tech support  - 15 – 20%
    1. Become an EPIC super user
    2. Provide EPIC support to clinical providers in real-time
    3. Provides new users with support
    4. Manage and Submit EPIC ARM requests
    5. Submit ARM requests for all new users
  3. Provide reports to management on current issues.
  4. Act as informational resource on hardware and software questions/issues.
  5. Maintain and update Divisional computer database monthly
    1. Ensure computers are assigned to the appropriate user in database at all times
    2. Work with Divisional Finance to ensure the appropriate funding account is charged for computer support for all computers
  6. Work with M-NET, CTS and BMC IT to plan replacement and upgrades of Divisional  computers and peripheral equipment. Oversees replacement of equipment.

    2. Complete software to-be installed forms for completed for all new computer orders
  7. Manages licenses of clinical software
    1. Works with IT groups to install software on Divisional computers
    2. Works with vendor to move licenses from computer to computer when necessary
    3. Works with finance to purchase upgrade
  8. Maintain and Update GI/Hepatology Intranet site
    1. Work with Divisional leadership to curate and upload information, policies, protocols onto intranet site
    2. Develop and improve intranet site
  9. IT Support for Key Meetings
    1. Provides in-person support and troubleshooting for Faculty meetings, Grand Rounds, lecture series and Symposiums.
    2. Sets up Adobe Connect and/or other presentation software for key meetings.
    3. Provides hands on technical assistance as needed.
  10. Schedules EPIC training for new users
  11. Assist Inpatient Attendings with software applications to support inpatient services
  12. Assist faculty, staff and fellows on the use of installed software applications.
  13. Complete new user forms with M-NET for all new personnel
  14. Manages Clinical Equipment and Software service contracts for Division
  15. Manages A/V equipment in Divisional Conference Rooms and Ambulatory Clinics
  16. Assist Admin Supervisor with moving and setting up IT equipment during office moves at JHH campus, BMC campus, Green Spring and Knoll North Clinic.
    1. May require lifting and moving furniture.
    2. Physically lift, unpack, and move electronic equipment.
  17. Act as informational resource on hardware and software questions/issues.
  18. Keep current on supported technology to maintain knowledgebase and skills. 

 

Travel: Must be able to travel to off-site locations as needed.  Must have own transportation and a valid driver’s license required.  Review of driving record will be required.

 

Communications:  A personal Smartphone is required due to frequent travel on and off campus.

Qualifications:

Bachelor’s degree required, preferably in management, business, or IT and a minimum of one year of responsible decision-support experience with a focus on financial and/or utilization data within a complex health care system required. Some project management experience helpful. Requires advanced knowledge in the use of financial software applications, databases, and decision-support systems. Additional education may substitute for some experience, to the extent permitted by the JHU equivalency formula.

 

Equivalency Formula: 30 undergraduate degree credits or 18 graduate degree credits = 1 year of experience. For jobs where equivalency is permitted, up to two years of non-related college coursework may be applied towards the total minimum education/experience required for the respective job.

 

Preferred:
Masters in related discipline preferred and knowledge in the assigned IT environments.Supervisory responsibility (indicate the number and type of persons supervised by incumbent): N/A

The pre-employment physical for positions in clinical areas, laboratories, working with research subjects, or involving community contact requires documentation of immune status against Rubella (German measles), Rubeola (Measles), Mumps, Varicella (chickenpox), Hepatitis B and documentation of having received the Tdap (Tetanus, diphtheria, pertussis) vaccination. This may include documentation of having two (2) MMR vaccines; two (2) Varicella vaccines; or antibody status to these diseases from laboratory testing. Blood tests for immunities to these diseases are ordinarily included in the pre-employment physical exam except for those employees who provide results of blood tests or immunization documentation from their own health care providers. Any vaccinations required for these diseases will be given at no cost in our Occupational Health office.
