CTY Assistant Program Manager

General Nature or Purpose of the Job:

Assist Program Managers with planning and executing all activities related to academic summer residential and day programs for approximately 10,000 academically talented students annually, including assisting with seasonal staffing efforts.


Incumbents will Interview and evaluate candidates for seasonal positions in CTY Summer Programs, particularly summer instructors and teaching assistants in science, and other positions as requested. Schedule and conduct interviews and assess candidates. Initiate and track online reference checks. Keep candidate records up to date.


Note: This position is not benefits eligible.


Primary Duties and Responsibilities:

  • Recruit, hire, train, and manage the performance of, and evaluate Summer Programs staff;
  • Schedule and conduct phone interviews for candidates for seasonal positions in CTY summer programs.
  • Initiate and track online reference check completion.
  • Follow the standard interview protocols and take detailed interview notes.
  • Upload a written assessment of interviews, including of the sample lesson plan that candidates for instructor positions are required to submit.
  • Answer interviewee questions about employment with CTY Summer Programs and share details about the hiring process.
  • Communicate with CTY Summer Programs curriculum committee chair and those responsible for the particular course curriculum about interviewed candidates.

Degree of independent action performed on the job:

Moderate. Considerable independence with regard to hiring. Must exercise some independent judgment in handling on-site issues ranging from facilities issues to staff performance problems to student safety to parental complaints.


Internal and external contacts required as part of the job:

Internal: Regular contact with departments within the division of CTY Finance and Administration; infrequent contact with other CTY divisions and JHU central administration, particularly Office of the General Counsel and Office of Institutional Equity.


External: Regular contact with job candidates and summer employees (undergraduate students, graduate students, college and university faculty, public and private school teachers, and working professionals from around the world) for hiring, training, and performance management purposes; regular contact with college and university representatives from across the country for summer employee recruiting purposes; regular contact with host institution staff on facilities issues; regular contact with families regarding curriculum and site issues; occasional presentations at local, regional and national conferences.


Special Skills and Knowledge:

Strong leadership skills; ability to manage high volume of work and multiple priorities; computer literate; excellent oral, written and interpersonal communication skills; knowledge of teaching, pedagogy, and residential program issues; knowledge of both college and pre-college education.


Minimum Qualifications: 


  • Bachelor’s degree required. Prefer degree in applied math, economics, computer science, or engineering.


Related work experience:

  • Two years of related experience in an educational setting.
  • Previous experience with interviewing and hiring.


Additional education may substitute for required experience, to the extent permitted by the JHU equivalency formula.


Preferred Qualifications:

  • Master’s degree strongly preferred
  • Teaching (college or pre-college) or residential life experience (college or boarding school) is preferred.
  • Previous CTY Summer Programs teaching experience strongly preferred
  • Experience with academically talented students highly desired.


Computer or other special needs for the position:

  • Proficiency with MS Office applications.


Machines and/or Equipment Used on the Job:

  • Computer – 30%
  • Telephone – 70%


Physical Requirements for the Job:

  • Ability to sit in a normal seated position for extended periods of time
  • Ability to access and transmit information using a computer.
  • Dexterity of hands to operate a computer keyboard, mouse pad and other office machinery.
  • The incumbent will be required to communicate regularly via telephone or Skype and possibly face to face with internal and external audiences and must be able to exchange accurate and timely information in these settings.
  • Position also requires a degree of mobility common to working in an office environment; bending, kneeling or standing during events and presentations may be required.

During the Influenza ("the flu") season, as a condition of employment, The Johns Hopkins Institutions require all employees who provide ongoing services to patients or work in patient care or clinical care areas to have an annual influenza vaccination or possess an approved medical or religious exception. Failure to meet this requirement may result in termination of employment.


The pre-employment physical for positions in clinical areas, laboratories, working with research subjects, or involving community contact requires documentation of immune status against Rubella (German measles), Rubeola (Measles), Mumps, Varicella (chickenpox), Hepatitis B and documentation of having received the Tdap (Tetanus, diphtheria, pertussis) vaccination. This may include documentation of having two (2) MMR vaccines; two (2) Varicella vaccines; or antibody status to these diseases from laboratory testing. Blood tests for immunities to these diseases are ordinarily included in the pre-employment physical exam except for those employees who provide results of blood tests or immunization documentation from their own health care providers. Any vaccinations required for these diseases will be given at no cost in our Occupational Health office.
