CTY Assistant Program Manager Site Leadership & Administration

We are seeking a CTY Assistant Program Manager of Site Leadership & Administration. This role will assist with planning and executing in-person academic programs for students meeting CTY’s eligibility requirements, including summer residential programs and day programs, planned to serve in 2022 approximately 8,600 students in grades 2-12, across multiple locations in the U.S., with new program models and locations, including international locations, expected in future summers.


The position plays two critical roles. 1) assisting with direct site management, assuring that CTY delivers a high-quality on-site academic and student life experience that advances its diversity, equity and antiracism goals and that runs smoothly logistically and in compliance with all applicable laws and regulations. 2) assisting with an area of specialization focused on one aspect of developing and/or delivering the program across all locations.


Specific Duties & Responsibilities:

Site Management (All APMs)

  • Support Program Managers in working with host institutions on securing appropriate facilities and services and configuring on-site operations to best fit the unique context at each location (e.g. how best to repurpose dormitory space for on-site administrative offices; how best to stagger lunch schedules in dining halls shared by multiple programs.)
  • Assure that site is prepared for camp inspections, if applicable.
  • In all interactions with host institution representatives, foster a strong working relationship that engenders trust in the professionalism of CTY staff and in the conduct of the students.
  • Assist Program Managers with staff communications; answer staff questions about the on-site experience.
  • Handle more complex questions from students and parents referred by Enrollment Management staff.
  • Work on location during the opening and close of each session as assigned to assure that sites deliver a high-quality on-site experience for students and staff:
    • Function as an on-site resource to leadership staff as they transition into their roles; provide guidance on policy and procedural questions.
    • Help to build a strong sense of community among staff.
    • Help to ensure accountability to, and foster connection and collegiality with, CTY headquarters
    • Represent CTY headquarters during on-site staff orientation and at opening and closing ceremonies. Answer questions from families about future opportunities at CTY.
    • Help provide leadership to ensure that the on-site experience meets and advances CTY’s diversity, equity and antiracism goals.
    • Observe and troubleshoot across all aspects of the program in operation, administrative, academic, and student life. Report any concerns to program manager and assist with steps to address and resolve. E.g. meditate conflicts between staff.
    • Provide first response to complaints and concerns from staff and parents.
    • Serve as the site’s liaison to CTY and University resources.


Program Management

  • Handle professional level responsibilities in an area of specialization focused on an aspect of developing and/or delivering on-campus programs across all locations.
  • Participate in establishing in-person program priorities and contribute to decision making about program models, policies and practices. Each Assistant Program Manager is assigned to one of four areas:
    • Curriculum, STEM
    • Curriculum, Humanities, Social Science and English Language Arts
    • Student Life
    • Site Leadership and Administration


The incumbent for this position will be assigned to Site Leadership and Administration.


Site Leadership & Administration

Assist with managing leadership staff selection, training, and performance management across program sites.

  • Assist with interviewing and selecting site leadership staff. (Site Directors, Deans of Operations, Deans of Students, Office Managers)
  • Assist with defining leadership staff needs (profile and volume) for CTY recruitment.
  • Assist with assessing the effectiveness of site leadership and administration structures.
  • Help assure that leadership staff are prepared to support and advance CTY’s diversity, equity, and anti-racism goals on site.
  • Assist with design and continual review and refinement of virtual and on-campus training and professional development for site leadership staff.
  • Assist with design of and implement performance management for site leadership staff
  • Assist with tasks related to camp regulations compliance.
  • Help to assure appropriate alignment among day and residential program policies and procedures.

Minimum Qualifications (Mandatory):

  • Bachelor’s Degree.
  • Two years of related experience (including teaching) in a school or educational program.
  • Additional education may substitute for required experience, to the extent permitted by the JHU equivalency formula.*


JHU Equivalency Formula: 18 graduate degree credits may substitute for one year of experience.  For jobs where equivalency is permitted, up to two years of non-related college course work may be applied towards the total minimum education/experience required for the respective job. 


** Applicants who do not meet the posted requirements but are completing their final academic semester/quarter will be considered eligible for employment and may be asked to provide additional information confirming their academic completion date. 


Preferred Qualifications:

  • Master’s Degree preferred.
  • Experience developing and delivering training for adults strongly preferred.
  • Coursework in gifted education and/or experience with academically talented students highly desired.

Computer or other Special Needs for the Position:

  • Substantial knowledge of Microsoft Office applications.


Machines and/or Equipment Used:

  • Use of computer 90% of the time


Physical Requirements:

  • Ability to sit in a normal seated position for extended periods of time.
  • Must be able to lift up to 25 lbs; must stand for extended periods of time during in-person workshops.
  • Dexterity of hands to operate a computer keyboard, mouse pad and other office machinery.
  • The incumbent will be required to communicate regularly via telephone and face to face with internal and external customers and must be able to exchange accurate and timely information in these settings.
  • Position also requires a degree of mobility common to working in an office environment; bending, kneeling or standing during events and presentations may be required.


Supervisory Responsibility:

  • This position has no direct reports but assists a Program Manager in the supervision of approximately 150 staff members at program sites.


Additional Information:

  • Must be able to travel and work some nights, weekends and holidays.
  • Summer travel typically includes 3 residencies, each 1-2 weeks long.
  • Extenuating circumstances could require additional time on site.
  • Sites assignments are to be determined and are subject to change, but could include responsibility for sites overseas.
  • If assigned to overseas sites, one, longer residency of 4-6 weeks would be required.
  • Candidate must be able and willing to travel to any site assigned.
  • Applicants must be authorized to work in the US, and must either live in the US or another area in which JHU has a business entity.
