Circulation Manager

The Digital Media Center seeks a Program Coordinator who is responsible for the quality of the experience of full-time Homewood students using the Media Center’s circulating resources and is the office manager of the DMC suite. This entails managing the acquisition, maintenance and circulation of advanced media equipment, hardware and software; recruiting, training and supervising the student staff and 3 student managers; and creating, implementing and assessing DMC circulation policies and procedures, as well as administrative tasks including purchasing, payroll, Pcard management, managing schedules and hours of the center including student employees, and the physical management of the DMC suite. This position reports to Executive Director of Student Engagement, works closely with the two Multimedia Specialists on a daily basis, and requires some evening and weekend lab coverage and event support throughout the year.

 

Specific Duties & Responsibilities:

 

Program Development and Implementation

  • Develop and implement policies and procedures to enhance the operation of the DMC including instructional materials for DMC members, resolution of check out/in procedures, policies related to equipment fines, and the assessment and resolution of risk in circulating high-end equipment.
  • Oversee the maintenance of existing equipment and resources, as well as the purchase and deployment of new circulating resources and the removal of resources from circulation.
  • Manage patron services, including determining eligibility, authorizing equipment access, communicating with student members about fines incurred.
  • Manage sales and services such as student poster/photo printing, 3D printer services and consumable media with the student managers.
  • Train, maintain, assess, and improve student staff proficiency on DMC systems management (reservation, check out, inventory) and maintain internal/external wiki systems documenting DMC procedures.
  • Manage computer lab and makerspace facilities including JCard and keyed door access, climate, electrical, maintenance and repair, room reservations, and moving of the DMC space during the Mattin Center/Hopkins Student Center transition.
  • Oversee the financial management for all circulation and lab related DMC services including assisting with the preparation of annual budget requests with the Exec. Director and monitoring departmental expenses and revenues.
  • Manage DMC business management functions, such as budget monitoring and reconciliations, transfers, shopping cart and PCard purchases, billing, equipment purchasing, and fines management.
  • Attend regularly scheduled meetings with DOSL Budget Manager and Admin staff for achievement of best financial practices, consistent with University policy.
  • Participate in evening and weekend DMC workshops and JHU Signature Programming throughout the year.
  • Research and stay informed of peer institution/national trends and best practices in emerging media circulation programs.
  • Participate in the evaluation and development of DMC programs and policies related to emerging media access and promotion, and recommend changes as necessary based on the campus community needs, interests and national trends.

 

Supervision, Training, and Student Support

  • Jointly supervise (with the Multimedia Specialists) approximately 18 student staff including 3 student managers who monitor the lab and directly serve patrons participating in the circulation program of the DMC. Includes recruiting, hiring, training, daily management and performance evaluations.
  • Create and implement expectations and training materials for the student staff who manage the DMC lab and circulation functions.
  • Create and maintain work schedules and coverage systems for student staff to cover open lab and circulation hours. Monitor staffing to ensure coverage at all times including breaks and unanticipated staff shortages. Update various DMC digital resources with operating hours and resource availability.
  • Develop and update time and task management system, utilizing JHU systems where applicable.
  • Assess success of student employee program including Student Manager positions with evaluations and exit interviews for graduating or non-returning student staff members.
  • Work with Exec. Director to create and manage assessment cycle for DMC, including measurement of DMC member satisfaction and achievement of departmental learning outcomes.

 

Collaboration and Relationship Building

  • Collaborate with campus partners within Student Life and other divisional colleagues to provide orientation sessions and programming to students in accordance with the DMC mission.
  • Collaborate with Disability Services in providing equipment and resources to accommodate students with disabilities on a case-by-case basis.
  • Work collaboratively with faculty and staff in the Schools of Arts & Sciences and Engineering to ensure the availability of DMC resources meet shared programming goals to enhance educational excellence and personal growth.
  • Advise individual students and representatives of student groups in appropriate use and availability of DMC resources for their programs.
  • Work with DMC Multimedia Specialists to develop workshops that showcase DMC equipment, learning resources, and tools.
  • Manage circulation team of student staff in the creation of circulation collateral, upkeep, and management of all equipment.
  • Support the PR team in marketing programs effectively to diverse student populations using social media, web-based, and other direct resources and methods.
  • Update DMC website with current information on DMC programs, services, and staff.

 

Minimum Qualifications (Mandatory):

 

Education:

  • High School Diploma/GED required. Bachelor’s plus equivalent experience in running an equipment cage/lending library or Master's degree in media or technology field preferred. Additional education may substitute for required experience, to the extent permitted by the JHU equivalency formula.

 

Experience: 

  • Five years related experience required. Experience in a higher education setting preferred. 

 

Required Knowledge, Skills & Abilities:

  • Proficiency in advanced organizational management tools such as inventory control suites and ticket tracking systems. Knowledge of SAP preferred.
  • Familiarity with creativity software, particularly in graphics, audio and video disciplines.
  • Strong organizational, communication, and interpersonal skills, and the ability to work in a fast-paced, student-oriented environment.
  • Demonstrated ability to relate to students, faculty, staff, alumni, and the public with an ability to establish and maintain effective working relationships.

JHU Equivalency Formula: 30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience. Additional related experience may substitute for required education on the same basis.  For jobs where equivalency is permitted, up to two years of non-related college course work may be applied towards the total minimum education/experience required for the respective job.

Starting Salary Range: $19.82 - $27.27/hr (commensurate with experience)

The pre-employment physical for positions in clinical areas, laboratories, working with research subjects, or involving community contact requires documentation of immune status against Rubella (German measles), Rubeola (Measles), Mumps, Varicella (chickenpox), Hepatitis B and documentation of having received the Tdap (Tetanus, diphtheria, pertussis) vaccination. This may include documentation of having two (2) MMR vaccines; two (2) Varicella vaccines; or antibody status to these diseases from laboratory testing. Blood tests for immunities to these diseases are ordinarily included in the pre-employment physical exam except for those employees who provide results of blood tests or immunization documentation from their own health care providers. Any vaccinations required for these diseases will be given at no cost in our Occupational Health office.
