Development Coordinator

Summary

The Development Coordinator for The Brady Urological Institute/Department of Urology is a key member of the development team responsible for providing administrative and project support to five or more gift officers, generating data and reports for mailings, organizing meetings and presentations, providing backup support for the processing of all charitable gifts to the Brady, tracking and recording solicitation and gift activity in the development database, and completing aspects of the acknowledgment and stewardship process. This position requires discretion and mature independent judgment in handling sensitive and confidential information. The following are primary duties and responsibilities:


Data Management

  • Maintain integrity of data in databases including creating, maintaining and updating demographic information, actions, proposals and medical constituent information.
  • Maintain, monitor and update all physician referral activity in the development database in collaboration with gift officers.
  • Run routine reports to track gift officer activity throughout the fiscal year and update as necessary.
  • Provide Development team with weekly report of upcoming patients with wealth indicator, giving history and research information.
  • Assist the Development Officers with the stewardship and tracking of major gift prospects and donors, including overseeing mailings and database entry.
  • Generate reports from databases or file requests for specialized reports with Development Business Services.
  • In partnership with the Assistant Director, manage data used in communications with the Office of Medical Annual Giving.


Administrative Duties

  • Handle and screen incoming telephone calls, voicemails, faxes, emails, and mail in addition to coordination of courier services.
  • Develop a thorough working knowledge of the SAP financial system. Process receipts and expense reports for the DOD and development team members in a timely fashion. Coordinate the invoice payment process for external vendors.
  • Assist Development Officers with constituent communications, travel logistics and special projects.
  • Order office supplies, materials and equipment as needed.
  • Field inquiries from donors regarding questions about charitable gifts.
  • Manage and appropriately respond to or disseminate messages from the general Brady email inbox.
  • Support the Senior Development Coordinator, as needed, in planning and implementing special events, donor events, stewardship meetings and Board meetings.
  • Additional duties as assigned.


Gift Processing

  • Process charitable gifts and pledges to The Brady Urological Institute, including assigning funds to appropriate accounts and initiating the creation of new accounts and endowments. This requires routine interaction with Brady faculty and administration, Office of Advancement Services, the Johns Hopkins University Treasurers Office, and multiple offices within the Fund for Johns Hopkins Medicine.
  • Learn and utilize all gift processing technologies and databases, including but not limited to Paywire, CPA, Aladin, Arch-E, Merkle, and Relationship Management.
  • Serve as The Brady Development liaison to the Treasurers Office, Office of Gift Planning, Development Business Services and other Johns Hopkins offices for matters related to the management of charitable gifts.
  • Triage inquiries from donors and designated representatives related to their gifts, including contributions of cash, stock, estate distributions, and other planned giving vehicles.
  • Audit donor database entries and account allocations for errors; correct all discrepancies in collaboration with Development Business Services.
  • Copy, scan and file all necessary gift and pledge documentation.
  • Run weekly gift reports and communicate with gift officers and faculty about gifts received.


Acknowledgments and Stewardship

  • In coordination with the Development Coordinator, maintain templates for all acknowledgment letters for the chairman, faculty and Director of Development.
  • Prepare and send personalized gift acknowledgment letters and postcards for the chairman, faculty and Director of Development in a timely manner.
  • Track donor stewardship in ALADIN.
  • Provide weekly updates to Brady faculty on gifts received.
  • Partner with the Senior Development Coordinator to provide materials for stewardship communications.
  • The Development Coordinator will have concentrated attention to detail and accuracy in dealing with complex information. Must possess strong interpersonal and organizational skills, as well as excellent written and verbal communication skills. Must have the ability to work independently as well as part of a team. Requires exceptional computer literacy and the ability to manage and prioritize multiple projects in a dynamic, fast-paced environment with a high degree of confidentiality and professionalism. Requires the ability to use discretion, especially when handling confidential information, and a demonstrated track record of completing assignments correctly and on time. Knowledge of Johns Hopkins Medicine and/or development operations is highly desirable.


Minimum Qualifications
  • High School Diploma or graduation equivalent
  • Three years related administrative experience
  • Additional education may substitute for required experience, to the extent permitted by the JHU equivalency formula


Preferred Qualifications
  • Two years college or equivalent work experience preferred.
  • Strong computer literacy skills and the aptitude to learn new software.
  • Excellent interpersonal, verbal and written communication skills.
  • Ability to work independently, ability to work as part of a team, and ability to maintain a high degree of professionalism and confidentiality.
  • Ability to perform within severe time constraints with the highest degree of accuracy, effectiveness, and diplomacy.
  • Ability to understand workload and time constraints in order to determine priorities based on the needs of The Brady and its Development office.

JHU Equivalency Formula: 30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience.
