Development Coordinator



General Description:


The Office of Foundation Relations works collaboratively with colleagues across Johns Hopkins University and Medicine to establish long-term partnerships, strengthen existing relationships, and initiate new contacts with major private foundations. The Development Coordinator provides specialized project services and a broad range of administrative support for the Foundation Relations team. This individual coordinates office operations and delivers high-level customer service to internal and external constituents of the Foundation Relations office. The Development Coordinator reports to the Senior Associate Director and works closely with the Administrative Coordinator to ensure continuity of office operations for leave coverage and during high volume periods.


Specific Responsibilities:


Database and Reporting Support (50%):

  • Provides ALADIN/Relationship Management (RM) database support for Foundation Relations professional staff and helps troubleshoot issues. Tasks may include entering and updating constituent and prospect data, strategic approaches and proposals, stewardship actions and documents, and relationship manager requests.
  • Works with divisional colleagues to submit grant award documentation and SAP account information to Development Business Services (DBS) for the booking of grant pledges and outright gifts; follows Revenue Management procedures for handling/depositing checks and tracking wire payments.
  • Monitors ALADIN for accurate and timely entry of financial transactions by DBS to ensure proper crediting of foundation donor revenues and links department proposals to financial transactions in RM.
  • Utilizes the ALADIN, RM, and Business Intelligence software platforms to prepare periodic (bi-weekly, monthly, quarterly, and annually) financial analyses of foundation philanthropic revenue to Johns Hopkins University and Medicine.
  • Assists Foundation Relations staff in reviewing and updating Primary Relationship Manager (PRM)/Secondary Relationship Manager (SRM) assignments.
  • Supports Foundation Relations staff with preparing and submitting department/individual work plans to the RM team at the beginning of each fiscal year; produces reports on a regular basis to monitor departmental progress toward work plan goals.
  • Works with the Assistant Director for Foundation Relations to conduct a monthly review of sponsored projects activity in the COEUS research administration database to track independent faculty proposals to select foundations and helps distribute COEUS reports to Corporate and Foundation Relations (CFR) colleagues.
  • Collaborates with DBS and RM colleagues on building/customizing database reports.
  • Attends RM Liaison Group meetings on behalf of the Office of Foundation Relations (every other month) and relays relevant information back to the team.


Research and Stewardship Support (25%):

  • Assists in providing general and financial information on current and prospective foundation donors using various resources – ALADIN (giving histories and constituent information), COEUS (faculty-led proposal activity), Foundation Center Online, Guidestar, etc. – for background reports and briefings.
  • Conducts regular review of foundation constituent/prospects to research and verify proper organizational classification for DBS.
  • Accesses Endowment Sub-Ledger to report foundation endowment values; completes fiscal year-end endowment report and runs ad-hoc reports for staff as needed.
  • Assists Foundation Relations team in tracking mandatory stewardship actions – runs stewardship reports from ALADIN/RM for all staff and updates records.
  • Helps monitor media – Philanthropy News Digest, Chronicle of Philanthropy, Inside Philanthropy, major newspapers, etc. – for relevant news and funding opportunities to distribute to Foundation Relations staff; helps staff identify JH University and Medicine news of potential interest to foundation donors.


Meetings/Events and Other Administrative Support (25%):

  • Manages the calendar for bi-monthly meetings with Johns Hopkins University Research Administration (JHURA) and coordinates on-site logistics.
  • Provides support for events involving foundation donors and assists with site visits that may arise during the year.
  • Provides occasional lunch and absence coverage for the San Martin Center reception desk.
  • Responds to other staff priorities as needed, including calendar management and administrative tasks.




Minimum Qualifications:

  • High School Diploma/GED required.
  • Three years related experience required, preferably in a professional environment.
  • Additional education may substitute for required experience, to the extent permitted by the JHU equivalency formula. JHU Equivalency Formula: 30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience.


Required Competencies, Knowledge, Skills, and Abilities:

  • Proficiency in Microsoft Excel, Word, and Outlook.
  • Ability to perform critical administrative functions as back up for the Administrative Coordinator.
  • Requires excellent verbal and written communication skills.
  • Ability to meet deadlines, handle multiple tasks simultaneously in a fast-paced environment, while meeting the required quantity and quality of work.
  • The incumbent must be professional, customer-service driven, cooperative, and tactful.
