General Description

 

The Development Coordinator supports the Office of Development and Alumni Relations at the School of Education, including the Associate Dean, the Sr. Associate Director of Development, the Sr. Associate Director of Foundation Relations, the Director of Constituency Engagement, and the Communications Manager as needed to enhance programs and events, cultivate and engage donors, and maximize fundraising efforts. The position assists in the identification, research and engagement of annual and major gift prospects through a thorough knowledge of ALADIN and Relationship Management and other database management tools; manages stewardship for the School of Education and electronic and written communications to alumni and friends; assists in the support of alumni volunteer organizations; and develops detailed, standard and specialized development reports, as well as internal and external presentations for the team.

 

Primary Duties and Responsibilities

 

Prospect Research and Campaign Tracking (40%)

 

  • Conducts research and drafts written briefings on corporations, foundations, organizations and individuals on behalf of the DAR team using the Web, publications and materials.
  • Creates, tracks and maintains campaign reports, graphs, tables and records related to tracking donors, prospects, and giving pipeline. Provides analysis and summary of reports for internal and external dissemination.
  • Coordinates the SOE Lasting Legacy Program including maintaining the roster of Legacy Circle donors, prospects and coordination of various mailings (IRA’s, Lasting Legacy.)
  • Tracks major gift prospects and donors for the Associate Dean, Sr. Associate Directors and Director of Constituent Relations as needed, including overseeing mailings and database entry.
  • Utilizes the Johns Hopkins Development ALADIN database including Prospect Management.
  • Responsible for creating, maintaining and updating prospect and donor records, including event and campaign information.

 

Administrative Support (30%)

 

  • Screens / handles incoming calls from alumni, donors, prospects, volunteers, faculty and administrators providing information and answering questions pertaining to the office of Development and Alumni Relations.
  • Prepares agendas, gathers associated materials and arranges logistics for meetings on behalf of the DAR staff as needed.
  • Locates, gathers, and compiles information, formats reports, graphs, tables, records and other sources of information for analysis and communication by DAR staff.
  • The coordinator will work closely with the Sr. Director of Constituency Relations to carry out these duties, which include but are not limited to:  drafting copying and working with design staff to produce invitations, developing invitation lists, updating website, creating mailing labels, and tracking responses to invitations; creating briefing materials for development personnel and the Dean; and staffing events to ensure their success as needed.
  • Track and maintain a current overview of all pertinent data and details that are available for accurate reporting on the status of each event, at any point in time.
  • Maintains the schedule of Sr. Directors and Director of Constituent Relations as needed for internal and external invitations.

 

Stewardship and Communications to Alumni/Friends (30%)

 

  • This position serves as the primary coordinator of all stewardship for the School of Education.
  • Supports the Manager of Marketing and Development Communications by pulling data, drafting language, merging letters from multiple sources to compile stewardship reports. 
  • Prepares timely and personalized acknowledgement letters for the DAR team as needed and tracks them in Aladin.
  • Composes and coordinates letters, invitations, sympathy and congratulatory letters on behalf of the Dean and DAR staff and monitors mailings.  
  • Assists with electronic communications for alumni and friends, including quarterly e-news, mass e-mails, website updates, and social media (such as Twitter and Facebook).
  • Updates Alumni and Development areas of website on regular basis.

Posted Qualifications

 

High School Diploma/GED required. Bachelor’s degree preferred.

Three years of related experience required, preferably in research, database management, planning and managing successful events and/or overseeing electronic communications for an educational institution, non-profit organization, or private sector firm. Solid administrative skills including knowledge of web based design and social media (Facebook, LinkedIn, Twitter).

Additional education may substitute for required experience, to the extent permitted by the JHU equivalency formula. JHU Equivalency Formula: 30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience.

Some evenings and weekends are required. Position will require some travel (including possible overnight trips). Access to means to travel (drive or be driven) and bring materials to local sites.

Position requires walking some distances and stairs; lifting and transporting materials to and from events and meetings; and sitting and standing for various lengths of time.

 

Special Skills and Knowledge

 

An understanding of and commitment to fundraising is essential.

Knowledge of office administration (electronic and paper record keeping systems) and protocol.

Strong computer skills to include Microsoft Office Suite, ALADIN or other development database; Site Executive or other content management software; Lyris List Manager or other email marketing software; and social media applications; plus a willingness and ability to learn additional applications as needed.

Knowledge/experience in event management is required–including planning, managing and coordinating events and negotiations.

Excellent oral and written communication skills; including the ability to draft original correspondence, conduct research, develop reports and presentations.

Excellent interpersonal skills, including the ability to work with a diverse constituency and to work with individuals across all organizational levels both within the School and University and externally.

Strong project management skills; including the ability to manage responsibilities and projects to completion and to effectively manage competing priorities and deadlines.
