General Description:

 

The Development Coordinator assists with the engagement, stewardship, and acknowledgement processes within the Whiting School of Engineering Development Office. Supervised by the Director of Operations, the development coordinator works closely with the Assistant Director of Stewardship to proactively facilitate effective stewardship activities for individual donors and prospects, groups of prospects and donors, and other constituencies as necessary.

 

Primary Duties and Responsibilities

 

Stewardship (40%)

 

  • Along with the Assistant Director, ensures all mandatory stewardship plans assigned to the Whiting School of Engineering are completed by the fiscal yearend deadline
    • This includes pulling monthly Stewardship Status Reports; organizing quarterly meetings with gift officers to review the status of stewardship actions and coordinating their completion; and familiarizing with the histories of the Whiting School of Engineering dormant and permanent cases and supporting the Assistant Director in completing these plans

 

  • Assists with the management of Whiting School dormant and permanent mandatory stewardship cases.

 

  • Maintains the annual stewardship calendar, which includes proactively completing tasks, tracking deadlines, and prompting Assistant Director when various actions are due

 

  • Assists with the planning and execution of stewardship events and activities, including but not limited to: managing donor mailing lists and RSVPs; producing invitations and event programs; working with students and faculty to ensure attendance; serving as committee member, alongside Assistant Director and other Whiting School of Engineering event staff, to host the annual Scholarship Luncheon for all scholarship donors and recipients

 

  • Drafts correspondence, manages mailing lists, and fulfills messaging plans for a variety of stewardship activities, including but not limited to: event follow-up letters/messaging; annual letters/messaging; holiday-related messages and gifts, etc.

 

  • Helps to execute the annual process of stewardship for all donors with endowed funds in the Whiting School of Engineering
    • This includes stewardship projects for scholarship, fellowship, and professorship/faculty scholarship donors; managing written communication with recipients to request information for annual thank-you letters and profiles to be sent to donors; manages proper archive of endowment recipients; communicating with partners in the Krieger School of Arts and Sciences, Office of Student Financial Services, Whiting School of Engineering Business Office, and other departmental administrators as necessary 

 

  • Gathers and archives facts and anecdotes specific to the school and its departments to be used in annual impact letters and to augment other frequent communication with individual donors

 

  • Works on special projects determined by the Assistant Director, such as VIP stewardship pieces, annual fund stewardship, WSE Hopkins Fund stewardship, etc.

 

  • Serves as the backup for VIP stewardship letters and endowment summary reports

 

  • Plans and executes the annual Love-a-Donor event, in conjunction with counterpart from the Krieger School of Arts and Sciences, and manages the mailing of the cards acquired as well as other collaborative initiatives with Homewood School partners

 

Acknowledgements (40%)

 

  • Creates weekly log of gifts to be acknowledged and monitors progress of letter completion once per week

 

  • Drafts personalized and timely acknowledgement letters to donors, using appropriate templates as guides, for the President, Dean, and Associate Dean’s signature

 

  • Manages the mailing of postcard acknowledgements

 

  • Serves as liaison with all divisional development offices on gift acknowledgements and with the Office of Donor and Volunteer Engagement to ensure that presidential acknowledgements are drafted according to the proper guidelines

 

  • Serves as a committee member for the institution-wide Donor Relations Liaison Group

 

  • Coordinates regular updates to template acknowledgment letters

 

  • Reviews the status of acknowledgement letters with the Assistant Director of Donor Relations

 

Administration (20%)

 

  • Manages and maintains endowment information, including archiving new endowment agreements, annual recipient updates, donor information, and other information as necessary

 

  • Coordinates and proactively manages tasks for the Assistant Director to prepare for upcoming meetings and events, which includes scheduling, preparing documents and agendas, logistics, and disbursement of pertinent information to attendees

 

  • Tracks inventory for the donor relations team of regularly used stationery and postage

 

  • Researches information on donors to respond to requests from other development offices and find information from campus news to share with alumni based on their individual requests

 

  • Manages office supplies (letterhead, stamps, envelopes) and orders as needed

 

  • Orders business cards for WSE DAR staff

 

  • Functions as a part of the administrative team as needed for large group projects, campus runs, filing, telephone coverage, and other assignments

 

  • Assists at special events as needed

 

  • Provides administrative support to the Assistant Director as needed

 

  • Other duties as assigned

 

 

Qualifications:

 

High School Diploma/GED required. Bachelor’s degree strongly preferred. Three years administrative/office experience required. Experience in development and donor relations is preferred.

 

Additional education may be substituted for years of experience based on JHU's equivalency formula (30 undergraduate degree credits/semester hours or 18 graduate degree credits may substitute for one year of experience).

 

Special skills and knowledge:

 

  • Candidate must be proactive and effective when working independently and as part of a team.
  • Strong interpersonal and written communication skills required, and must be able to create original correspondence, such as letters, memos, reports, etc.
  • Must possess strong organizational skills, be detail-oriented, and be able to take part in more than one project simultaneously
  • Strong problem solving and multi-tasking skills are required
  • Must always be capable of maintaining a high degree of professionalism and confidentiality 
  • Must adapt to and be able to work in a complex, multi-divisional organization, and a dynamic, fast-paced environment
  • Must perform well under pressure and within time constraints
  • Must be able to be punctual and maintain a consistent work schedule
  • Must be service-oriented, discrete, and always behave ethically

During the Influenza ("the flu") season, as a condition of employment, The Johns Hopkins Institutions require all employees who provide ongoing services to patients or work in patient care or clinical care areas to have an annual influenza vaccination or possess an approved medical or religious exception. Failure to meet this requirement may result in termination of employment.

 

The pre-employment physical for positions in clinical areas, laboratories, working with research subjects, or involving community contact requires documentation of immune status against Rubella (German measles), Rubeola (Measles), Mumps, Varicella (chickenpox), Hepatitis B and documentation of having received the Tdap (Tetanus, diphtheria, pertussis) vaccination. This may include documentation of having two (2) MMR vaccines; two (2) Varicella vaccines; or antibody status to these diseases from laboratory testing. Blood tests for immunities to these diseases are ordinarily included in the pre-employment physical exam except for those employees who provide results of blood tests or immunization documentation from their own health care providers. Any vaccinations required for these diseases will be given at no cost in our Occupational Health office.
