General Description

 

The Development Coordinator will provide high-level development support for complex projects, assigned by the Senior Associate Director and Associate Director responsible for stewardship of our institution’s largest donor, referred to as the Foundation. This position will be responsible for assisting with events, preparing briefings for JHU leadership for events and meetings that pertain to the Foundation, and general administrative duties including drafting correspondence, reconciling travel expenses, paying invoices, and data entry. The successful candidate will be skilled in managing and prioritizing multiple projects simultaneously and effectively in a dynamic, fast-paced environment. Most duties involve sensitive and/or confidential information. This position reports to the Senior Associate Director of Special Projects in the Office of the Chief of Staff.

 

Specific Responsibilities

 

Undergraduate Scholarship Program Support and Administration

 

  • Event planning for eight (+) events each year, working closely with the Office of the Vice Provost
  • Tracking and preparation of student thank you letters to the Foundation
  • Monitoring and contributing to private Facebook and LinkedIn groups
  • Work w/ Associate Director to identify top candidates for summer internship program; schedule interviews as needed
  • Organize bi-annual trip to NYC for select scholars, which includes mandatory information sessions prior to trip.

 

Briefings

 

  • Work with the Senior Associate Director and the Development and Alumni Relations Office of Principal Gifts briefings team to prepare briefings for JHU’s leadership that pertain to the Foundation.
  • This includes briefings for meetings with the foundation, events hosted by the foundation and occasions when the foundation visits or attends events at Johns Hopkins. 

 

Administrative

 

  • Proactively manage the Senior Associate Director’s and Associate Director’s calendars
  • Obtain a thorough understanding of ALADIN and other DAR database resources in order to maintain data, compile and/or produce reports, and provide information as requested by the Senior Associate Director and Associate Director
  • Gain proficiency in all the resources available to report and update information to the Foundation
  • Provide support for all the Foundation’s events and experiences
  • Reconcile travel expenses and submit travel reimbursements in a timely and thorough manner. Organize and maintain electronic and hard filing system of financial documentation. Process office invoices and ensure adherence to the budget.
  • Note: This position will require working outside of normal business hours and/or weekends.

 

Qualifications

 

  • High School Diploma/GED and three years related experience required. Bachelor’s degree preferred. Additional education may substitute for required experience, to the extent permitted by the JHU equivalency formula.
  • Superior writing and editing skills, including the ability to draft original materials.
  • Intermediate proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook) and the ability to learn new software.
  • Ability to be flexible and composed in rapidly changing situations and to thrive in an extremely fast-paced environment.
  • Ability to perform within severe time constraints with the highest degree of accuracy, effectiveness and diplomacy.
  • Must possess exceptional organizational skills with a high functioning attention to detail.
  • Ability to make independent decisions using careful judgement and action in order to determine priorities.
  • Maintain a high degree of professionalism and confidentiality.
  • Ability to work effectively both independently and as a member of a team.
  • Must possess strong interpersonal and customer service skills.
  • Strong desire to associate with Johns Hopkins University and to champion the mission and values of the institution and our organization.
  • Must be able to lift 25 pounds.
