Development Coordinator

Position Overview

The Development Coordinator serves as a key member of a home-base team that provides essential support to Regional Programs, a highly mobile team of frontline fundraisers whose work seeks to advance the mission of one of the world’s great research universities and academic medical centers.

 

This role will oversee pipeline and project management, data consistency, and reporting for Regional Programs; build expertise in our CRM and associated platforms, systems, and processes; partner closely with the director and our gift officer team on prospect, donor, and travel-related needs; manage occasional gift administration and stewardship-related responsibilities; and serve as an engaged member of Regional Programs and the broader Johns Hopkins Development and Alumni Relations community.

 

Team Overview

Regional Programs is a centrally-positioned team of frontline fundraisers within Development and Alumni Relations charged with representing the breadth of Johns Hopkins University and Medicine to alumni, parents, grateful patients, and friends in prescribed regions across the country. The team is comprised of a director, to which this position reports, as well as three major gift officers, two assistant directors of development, and an administrative coordinator.

 

Primary Duties and Responsibilities:

 

  • Pipeline, Project, and Data Management
    • Serve as a member of the Pipeline, Project, and Data Management team, a small group within Regional Programs focused on building and maintaining the team’s pipeline and managing special projects on behalf of partner development offices, or DOFFs;
    • Organize and track the success of the team’s relationships and partnerships across the organization;
    • Manage referral tracking;
    • Maintain and manage prospect groups;
    • Partner with colleagues to develop and execute pipeline and population-focused projects;
    • Refine and maintain collaboration, pipeline, project, and data management tools (e.g. the Collaboration Matrix, best practices documents, trackers, etc.);
    • Lead data integrity and consistency efforts.
  • Reporting
    • Produce and distribute team activity and progress reports for Regional Programs, divisional partners, and development leadership;
    • Build skills in the organization’s CRM and associated platforms, systems, and processes to allow for accurate and timely data extraction, analysis, and review;
    • Aid in the development and distribution of ad-hoc reports on request.

 

  • Support for Regional Programs: Gift Officer Travel
    • Assist Regional gift officers with pre-trip activity (e.g. preparing donor lists and collateral materials; conducting prospect research and outreach; serving as back-up for travel planning and logistics);
    • Provide home base support as needed during gift officer travel (e.g. updating donor data, assisting with changes to travel and schedules, managing time-sensitive requests);
    • Partner on post-trip follow-up (e.g. submitting research requests, providing database maintenance).
  • Support for Regional Programs: General
    • Maintain a consistent presence on team communications platforms (e.g. Slack, Teams);
    • Build and maintain strong working relationships with team members through regular 1:1s;
    • Engage in team and organization-wide meetings as appropriate;
    • Assist with portfolio and prospect management;
    • Provide occasional gift/pledge processing support, and approach/proposal entry and maintenance;
    • Support data entry projects as needed;
    • Coordinate team-wide stewardship efforts;
    • Serve as back-up to Administrative Coordinator for director and gift officer support;
    • Serve as back-up to Administrative Coordinator for time-sensitive needs in the event of absence (e.g. ordering/purchasing, invoice payments, procurement card processing, scheduling).
  • Other Responsibilities and Opportunities
    • Answer and triage incoming phone calls for Regional Programs and members of leadership team as needed;
    • Maintain paper and electronic files;
    • Support team-wide projects, mailings, and initiatives as necessary; 
    • Assist with SMC and Garland needs as appropriate;
    • Build and leverage a strong network of colleagues across the organization;
    • Serve as an active member of Regional Programs and Johns Hopkins Development and Alumni Relations more broadly through leadership, volunteerism, and service.

 

Minimum Qualifications

High School Diploma/GED and three years related experience required. Additional education may substitute for required experience, to the extent permitted by the JHU equivalency formula.

 

Preferred Qualifications and Values

Fast-paced and highly variable, this role is best suited for an individual with deft interpersonal skills and collaborative instincts, high adaptability, an appreciation for data and systems, as well as broad-based intellectual curiosity and integrity.

 

Knowledge of higher education and/or academic medical center environments is preferred.

The pre-employment physical for positions in clinical areas, laboratories, working with research subjects, or involving community contact requires documentation of immune status against Rubella (German measles), Rubeola (Measles), Mumps, Varicella (chickenpox), Hepatitis B and documentation of having received the Tdap (Tetanus, diphtheria, pertussis) vaccination.
