Development Coordinator for Wilmer Eye Institute


General Description


The Development Coordinator for Wilmer Eye Institute holds a pivotal role for the development team and is instrumental to our continued fundraising success. The Development Coordinator is frequently the first member of our team to interact with potential and new donors and sets the tone for their interaction with the team. The Development Coordinator will report directly to the Senior Development Coordinator. Key responsibilities of this position are: gift processing, fund management, database management, reporting, and handling the offices finances/budget. The number of sophisticated donors, the fast pace of the office, and the complexity of many prospects require a high level of independent thinking, attention to detail, flexibility, advanced computer skills, and excellent interpersonal communication.




Fundraising and Relationship Management


  • Process charitable gifts to the Wilmer Eye institutes 174 faculty members across our 9 Divisions, 9 clinics and the Research Division. Deposit funds to appropriate accounts, and work with divisional finance teams to create new accounts and endowments, as needed. This position requires interaction with faculty, the Johns Hopkins University Treasurer’s Office, Development Business Services, and Office of Research and Sponsored Projects, departmental and division administration and appropriate offices within the Fund for Johns Hopkins Medicine, as well as, JHU Development and Alumni Relations central teams.
  • Receive gifts via mail, FedEx, Interoffice, emails/online, phone calls, and fax. Understand the specific issues associated with receiving gifts from each source, and how to handle and process these gifts utilizing the appropriate software including but not limited to CPA, Business Intelligence (BI), Aladin, PowerBi, and Relationship Management.
  • Develop and maintain expert knowledge of Aladin database as well as a thorough understanding of constituent management, relationship management and development research policies and protocols.
  • Master Business Intelligence processes to prepare scheduled and ad hoc reports for gift officers and faculty regarding faculty engagement, new prospects/donors and follow-up. Also, to develop mailing lists for Wilmer’s 5 yearly publications.
  • Oversee pledge and cash projects, managing pledge collection process.
  • Manage the tracking, reporting and notification process for memorial and honorary donations, including serving as liaison with the honoree or the appropriate family member(s).
  • Serve as the primary point of contact with the Office of research and Sponsored Projects to ensure the appropriate processing and recording of philanthropic grants.
  • Design and produce reports (financial and/or development) as required, utilizing Excel, word, Aladin, PowerBI, and Business Intelligence to be used for presentation slides for Board of Governors and Faculty meetings, as well as Wilmer publications
  • Work with gift officers to gather and interpret information and data in preparation for donor meetings, faculty meetings, events, presentations and proposals.




  • Maintain a thorough working knowledge of SAP financial system. Monitor and reconcile on a monthly, quarterly and annual basis the office budget in coordination with the Sr. Director of Development.
  • Process receipts and reimbursements. Coordinate payment process for external vendors.


Office Management


  • Effectively communicate with high-level donors, patients, guests, faculty, department chairs, development staff, administrators and professional colleagues over the telephone, in writing, and in person.
  • Work independently, manage projects, and determine priorities. Maintain a high degree of professionalism and confidentiality. Discretion is a priority.
  • Assist Administrative Coordinator with answering phones, photocopying, filing, organizational needs, and other basic administrative tasks.
  • Assist Administrative Coordinator when necessary with all development events including professorships, professional meetings, receptions and Board of Governors meetings for the Wilmer Development office.
  • Represent the Wilmer Eye Institute on the Relationship Management Liaison Group, Coordinator Round Table, and other institutional groups as appropriate.
  • Additional tasks to be assigned as needed.


Background Experience and Requirements


  • High School Diploma/GED required.
  • Three years of related experience required. Additional education may substitute for required experience, to the extent permitted by the JHU equivalency formula.
  • Two years of college or equivalent work experience preferred.
  • Strong computer literacy skills and the aptitude to learn new software. Highly developed organizational skills with the ability to multi-tasks.
  • Ability to manage projects and determine priorities.
  • Excellent interpersonal, verbal and written communication skills.
  • Ability to work independently, ability to work as part of a team, and ability to maintain a high degree of professionalism and confidentiality.
  • Ability to perform within severe time constraints with the highest degree of accuracy, effectiveness, and diplomacy.
  • Ability to understand workload and time constraints in order to determine priorities based on the needs of the Wilmer Eye Institute and the Development Office.
  • Willingness to learn different data management systems; such as PowerBI and Tableau.

During the Influenza ("the flu") season, as a condition of employment, The Johns Hopkins Institutions require all employees who provide ongoing services to patients or work in patient care or clinical care areas to have an annual influenza vaccination or possess an approved medical or religious exception. Failure to meet this requirement may result in termination of employment.


The pre-employment physical for positions in clinical areas, laboratories, working with research subjects, or involving community contact requires documentation of immune status against Rubella (German measles), Rubeola (Measles), Mumps, Varicella (chickenpox), Hepatitis B and documentation of having received the Tdap (Tetanus, diphtheria, pertussis) vaccination. This may include documentation of having two (2) MMR vaccines; two (2) Varicella vaccines; or antibody status to these diseases from laboratory testing. Blood tests for immunities to these diseases are ordinarily included in the pre-employment physical exam except for those employees who provide results of blood tests or immunization documentation from their own health care providers. Any vaccinations required for these diseases will be given at no cost in our Occupational Health office.
