Digital Archivist


General summary/purpose:

Reporting to the Assistant Director, Academic Liaison and Special Collections, the Digital Archivist leads the continuing development of the Archives’ digital program, employing professional standards to establish and implement policies and procedures for the management of born-digital and digitized materials, which include university records and manuscript collections acquired by the Sheridan Libraries’ Special Collections department. The role also oversees the Electronic Theses and Dissertation (ETD) program, including designing workflows, assisting in policy oversight, and supervising the work of the ETD assistant.


Specific duties & responsibilities:

  • Digital archives responsibilities (80%)
  • Manages the lifecycle of born digital and digitized university records and personal papers by creating, documenting, and implementing workflows for transferring, describing, processing, preserving, and providing access to these materials that accord with best practices and professional standards.
  • Provides guidance to curators and donors on the preservation and transfer of born-digital and digitized personal papers, and develops procedures for arranging and describing these materials 
  • Analyzes born-digital content for the presence of personally identifiable information and other confidential and sensitive information; redact and otherwise restrict access to this information; and train staff to perform these activities 
  • Cross-trains members of the Archives Team on workflows relating to born-digital materials, including digital archives management and digital preservation. 
  • Collaborates with Archives Team on accessioning and processing collections, and the development of processing guidelines and best practices.
  • Manages the Sheridan Libraries’ Electronic Theses and Dissertations (ETDs) program, including developing, refining, and documenting workflows and policies related to the submission, formatting, and ongoing management of ETDs; provides guidance to students and school and academic departmental administrators across all Johns Hopkins schools related to ETDs; supervises the day-to-day work of the ETD assistant; and works with the Library Applications Group (LAG) to ingest ETDs into the institutional repository to provide access.
  • Manages the Special Collections department’s web archiving program, including creating and monitoring web crawls, performing quality control checks and supervising others in quality control checks, and creating descriptive metadata for web content that accords with professional standards
  • Works with Library and University IT to ingest born-digital and digitized materials into library-controlled preservation storage; collaborates with them to develop a repository for preserving and managing born-digital materials; and advises on software and hardware issues related to digital tools
  • Assists in development and management of grants and other fundraising activities related to born-digital materials
  • Represents the Libraries on relevant internal and external committees
  • Stays abreast of trends and developments impacting the profession
  • Collections management responsibilities (20%) 
  • Communicates with campus offices to transfer university records of enduring value in digital form to the Archives’ custody, and creates accession records for the material
  • Establishes records retention guidelines for university records in digital form
  • Advises on collection development strategies for university records in digital form
  • Develops scripts, open documentation, and workflows to contribute to and assist in managing one or more applications utilized by the unit 

Minimum qualifications (mandatory):

  • MLS from an ALA-accredited library school or an advanced related degree required
  • Three years’ professional library experience 
  •  Experience in an archives or special collections department in a research library or similar setting
  • Knowledge of strategies developed or adopted by the archival community for managing born-digital archival material
  • Experience with tools and software used to capture, manage, and deliver born-digital records, including web archiving activities and tools
  • Experience transferring content from legacy media such as hard drives, floppy disks and zip disks, including creating disk images
  • A high degree of technical facility, experience working in command line interfaces, and the demonstrated ability to learn new technical skills through research and self-study
  • Experience supervising and/or mentoring other employees
  • Experience accessioning or processing archival and manuscript materials, either analog or born-digital
  • Knowledge of relevant standards for archival description and preservation including DACS, EAD, EAC-CPF, and PREMIS, and familiarity with other metadata standards
  • Familiarity with MPLP and Accessioning-As-Processing methodologies

Preferred qualifications:

  • Experience with XSLT, Xpath, Xquery and one or more general scripting languages such as Python, Bash or Perl
  • Experience with MODS
  • Experience with archival collections management tools such as Archivists’ Toolkit and ArchivesSpace
  • Experience implementing MPLP-influenced or Accessioning-As-Processing workflows

During the Influenza ("the flu") season, as a condition of employment, The Johns Hopkins Institutions require all employees who provide ongoing services to patients or work in patient care or clinical care areas to have an annual influenza vaccination or possess an approved medical or religious exception. The pre-employment physical for positions in clinical areas, laboratories, working with research subjects, or involving community contact requires documentation of immune status against Rubella (German measles), Rubeola (Measles), Mumps, Varicella (chickenpox), Hepatitis B and documentation of having received the Tdap (Tetanus, diphtheria, pertussis) vaccination. This may include documentation of having two (2) MMR vaccines; two (2) Varicella vaccines; or antibody status to these diseases from laboratory testing. Blood tests for immunities to these diseases are ordinarily included in the pre-employment physical exam except for those employees who provide results of blood tests or immunization documentation from their own health care providers. Any vaccinations required for these diseases will be given at no cost in our Occupational Health office.
