Educational Advisor

The CTY seeks an Educational Advisor who will play a critical role in working with first generation, low-income students and carrying out the mission of the CTY Scholars Program. The Advisor fosters strong and effective relationships between CTY and the Scholar and their families, is an advisor, mentor and a coach to the Scholar, and plays a proactive role in shaping the Scholar’s academic future. CTY Advisors play a key role throughout a Scholar’s early academic career including adjustment to high school, high school course selection, college search, and the financial aid and college admissions processes. Advisors also play a critical role in shaping and developing the larger CTY Scholars team.


NOTE: This position requires 20%-30% of travel to visit students in Los Angeles County. It is preferred that candidates live in Los Angeles County (or surrounding area).This position is expected to last 18 to 42 months (depending on funding). Flexible scheduling is needed as the Educational Advisor will need to work with students during evenings and weekends.

Specific Duties & Responsibilities:


Outreach and Recruitment Activities

  • Serves on the Scholars selection committee.


Academic Advising, Scholar and Family Communication

  • Educates CTY Scholars on colleges and the college admissions process, including updates on trends, admissions policies, and testing.
  • Coordinates and facilitates student and parent workshops throughout the academic year to ensure parents and students understand the college admissions process, including financial aid.
  • Provides ongoing academic guidance to scholarship recipients and their families in person, by phone, and by e-mail.
  • Advises students on high school and CTY course selections, including summer programs and online courses.
  • Tracks progress with 3rd party test preparation and CTY online courses.
  • Assists students in finding internships and volunteer opportunities in order to enhance competitiveness for selective college applications.
  • Assists students in establishing career and educational goals.
  • Maintains regular communication with CTYS families throughout the year, this includes responding to all requests within 48 hours.
  • Writes letters of recommendation for college applications, scholarships, and internships as requested by students.


Student Data and Reporting

  • Collects and reviews grade reports and other relevant data from scholars, their families, and schools.
  • Keeps student information up-to-date in CIS and Naviance for all assigned students. Required information includes grades and standardized test scores.
  • Tracks and reports academic progress of students to Director and other management.


CTY Scholars Team and CTY Contributor

  • Supports CTY’s donor relationships by providing Scholar reports and coordinating related activities.
  • Remains current on industry trends and best practices in college counseling by taking advantage of professional development opportunities.
  • Establishes and maintains relationships with college admissions offices.
  • Actively participates in staff meetings and other special events.
  • Other tasks as assigned.

Minimum Qualifications (Mandatory)

  • Minimum of a Bachelor’s degree.
  • Three years of experience in counseling, education, and other relevant academic administrative functions.


Preferred Requirements:

  • Master's degree in counseling, school psychology, or gifted education preferred.
  • Experience working with low-income, and high-achieving students and families is preferred.
  • Experience in college counseling is preferred.


Required Special Skills & Knowledge:

  • Knowledge of selective college admissions, scholarship opportunities, and financial aid processes.
  • Excellent verbal and written communication skills, able to communicate with managers, families and students in sometimes stressful situations.
  • Problem-solver, proactive in addressing challenges and escalating issues to Sr. Program management.
  • Shows strong professional judgment, character and integrity.
  • Great listener, takes the time to listen empathetically, asks questions and clarifies points if there are questions and concerns, and ensures that families, scholars and team members feel heard.
  • Deadline-oriented, able to juggle multiple competing priorities and tasks.
  • Organized, able to track and simplify information about many students and their families and deliver that information to managers and families accurately and on-time.
  • Detail-oriented, able to follow through on tasks until completion, ensures accuracy and attention to format.


Computer/Other Special Needs for the Position:

  • Substantial knowledge of Microsoft Office applications.
  • Must use personal phone.
  • Must use personal computer.


Machines and/or Equipment Used and % of Time Used:

  • Use of computer 90% of the time.


Degree of Independent Action Performed:

  • This position involves a great deal of independence along with supervision from the Director.


Physical Requirements:

  • Ability to sit in a normal seated position for extended periods of time.
  • Must be able to lift up to 25 lbs.
  • Must stand for extended periods of time during in-person workshops.
  • Dexterity of hands to operate a computer keyboard, mouse pad and other office machinery.
  • The incumbent will be required to communicate regularly via telephone and face to face with internal and external customers and must be able to exchange accurate and timely information in these settings.
  • Position also requires a degree of mobility common to working in an office environment; bending, kneeling or standing during events and presentations may be required.

  • Travel to visit students is required (20%-30%)
  • Applicants must be authorized to work in the US, and must either live in the US or another area in which JHU has a business entity.
  • All employees participating in or serving children in University programs must participate in mandatory Child Abuse Prevention online training on the appropriate conduct around children, protecting children from abuse and neglect, and reporting of known or suspected child abuse and neglect.

During the Influenza ("the flu") season, as a condition of employment, The Johns Hopkins Institutions require all employees who provide ongoing services to patients or work in patient care or clinical care areas to have an annual influenza vaccination or possess an approved medical or religious exception. Failure to meet this requirement may result in termination of employment.


The pre-employment physical for positions in clinical areas, laboratories, working with research subjects, or involving community contact requires documentation of immune status against Rubella (German measles), Rubeola (Measles), Mumps, Varicella (chickenpox), Hepatitis B and documentation of having received the Tdap (Tetanus, diphtheria, pertussis) vaccination. This may include documentation of having two (2) MMR vaccines; two (2) Varicella vaccines; or antibody status to these diseases from laboratory testing. Blood tests for immunities to these diseases are ordinarily included in the pre-employment physical exam except for those employees who provide results of blood tests or immunization documentation from their own health care providers. Any vaccinations required for these diseases will be given at no cost in our Occupational Health office.
